The Student Support Services Specialist is responsible for the management of complex and varied student affairs events, student compliance and student orientation. The position requires maintaining and updating academic records of all students and plans and implements the registration process for rotations. He/she works with the Director of Student Affairs to coordinate times and locations for rotations and resolve scheduling conflicts. Other responsibilities include keeping records of all classes and curriculum prerequisites; compiling enrollment statistics and advise students regarding eligibility.

Liaises with staff at affiliated hospitals and other clinical sites to ensure students remain fully compliant with their requirements for clinical experiences as they rotate among sites this includes student evaluation completion.

Coordinate administrative process for recruitment and orientation of students to the organization. Manages student compliance with all Network, Federal and State.

Job Description

Essential Functions

  • Maintain and update academic records of all students and plans and implements the registration process for rotations.

  • Working with the Director of Student Affairs coordinates times and locations for rotations and resolve scheduling conflicts.

  • Record keeping of all classes and curriculum prerequisites; compiling enrollment statistics and advise students regarding eligibility.

  • Liaises with staff at affiliated hospitals and other clinical sites to ensure students remain fully compliant with their requirements for clinical experiences as they rotate among sites this includes student evaluation completion.

  • Coordinate administrative process for recruitment and orientation of students to the organization.

  • Manage student compliance with all Network, Federal and State.

  • Responds to student needs in a timely, professional, helpful, and courteous manner, regardless of the student’s attitude. 

  • Identifies and understands student support issues, school/university needs and effectively addresses and resolves issues. 

  • Collects and inputs data into the appropriate source systems.

  • Provides preliminary data analysis and reports as requested.

  • Maintains and updates academic records for student learners in the network.

  • Coordinates and facilitates the student orientation.

  • Prioritizes workload. 

  • Complies with network policies including confidentiality policies. 

  • Regularly and within 48 hours, reads and responds to e-mail and telephone communications. 

  • Stays current on Network updates.

  • Performs other duties as assigned or required by supervisor.

Physical Demand Analysis:

  • Physical Requirements: Sitting, standing, walking within department and throughout medical center as needed. Light lifting for files, papers and other routine office materials.
  • Visual Requirements: Reviewing printed materials as well as information processed on a computer screen for majority of working day.
  • Hearing Requirements: Must be able to conduct telephone and personal conversations.
  • Working Conditions: Normal office conditions

Education/Training/Experience:

  • Bachelor’s degree preferred in any field plus one-year clerical experience working with post-secondary students; or any satisfactory combination of experience and training which demonstrates the knowledge, skills and abilities to perform the above duties.
  • Requires word processing, spreadsheet and typing skills; must be able to do data entry with a high degree of accuracy; multi-task and work independently to meet goals and deadlines. Experience with a student records system a plus.
  • The successful candidate will possess excellent organizational and administrative abilities. He/she must also exhibit excellent communication skills, including when collaborating with multiple departments. He/she should be highly organized and be able to quickly adapt to change.
  • Complete familiarity with computers and database management is required.
  • He/she will be able to handle confidential information and will exercise good judgement with respect to the generally sensitive nature of material related to students and other matters in the Office of Academic Affairs.
