ABOUT THE POSITION

The Executive Assistant to the Chief Deputy of Operations provides high-level, confidential administrative support to the Court’s Chief Deputy of Operations. This pivotal role contributes directly to the strategic priorities and operational goals of the Operations Division, ensuring its overall efficiency and effectiveness through proactive problem-solving and organizational awareness.


This position requires exceptional judgment, discretion, and the ability to manage multiple priorities in a fast-paced, dynamic environment. The Executive Assistant serves as a key liaison between the Chief Deputy and internal and external stakeholders, facilitates effective communication across departments and divisions, and is responsible for the timely and accurate completion of executive-level tasks and deliverables. Key Responsibilities

  • Manage the calendar and scheduling needs of the Chief Deputy of Operations, ensuring alignment with departmental priorities, deadlines, and executive obligations.
  • Prepare, proofread, and finalize a variety of documents including reports, correspondence, meeting materials, memoranda, and presentations.
  • Coordinate and track internal projects, administrative processes, and operational initiatives across departments; assist with monitoring progress and ensuring timely follow-up.
  • Serve as a liaison between the Chief Deputy and internal/external stakeholders, maintaining a high level of professionalism and confidentiality in all communications.
  • Review and prioritize incoming correspondence and inquiries; respond on behalf of the Chief Deputy when appropriate or route items to the correct parties.
  • Organize and maintain confidential records, project files, administrative databases, and timekeeping documentation; ensure accuracy and compliance with court standards.
  • Review and assign complaints in accordance with direction from the Chief Deputy; monitor and track the status of each case to ensure timely and appropriate resolution.
  • Coordinate and provide administrative support for travel arrangements, including the preparation of requests, expense processing, and reimbursement submissions.
  • Assist in planning and coordinating court-related programs, projects, and special events such as judicial ceremonies and internal initiatives.
  • Provide backup support to other executive administrative staff as needed; contribute to the development and streamlining of administrative procedures and practices.


THIS IS A TELEWORK ELIGIBLE OPPORTUNITY

This position may be eligible for full or partial telework following an initial training period and contingent upon the needs of the Court.


SELECTION REQUIREMENTS

To qualify, you must meet one of the following options at the time of application:


OPTION I: 60 semester (90 quarter) units from an accredited college or university* and six (6) years of highly responsible** administrative support experience 


OPTION II: Seven (7) years of highly responsible** administrative support experience

**Highly responsible administrative support involves the performance of high-level tasks with a considerable degree of autonomy, judgment, and discretion, typically in support of management or senior executives.

Note: Credit for experience is given based on a 40-hour workweek. Part-time experience is credited on a part-time ratio (e.g., working 20 hours per week for two months equals one month of experience). Overtime does not count toward additional credit.


DESIRABLE QUALIFICATIONS

  • Exceptional organizational and time management skills; able to manage multiple priorities efficiently.
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, Word, PowerPoint, Teams, OneNote, and SharePoint.
  • Analytical and problem-solving abilities, with a demonstrated capacity to identify issues and develop innovative, technology-driven solutions.
  • Experience providing executive-level support within a high-impact, organization-wide environment.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage sensitive and complex situations with discretion, tact, and diplomacy.
