POSITION SUMMARY

The Administrative Assistant is a highly organized and detail-oriented professional who supports multiple teams across various departments. This role requires a proactive individual who is comfortable managing a wide range of administrative tasks, supporting construction-related projects, and ensuring the smooth operation of daily office functions. The ideal candidate is flexible, professional, and willing to roll up their sleeves to tackle any task—big or small.


Requirements

ROLE AND RESPONSIBILITIES

  • Greet visitors, clients, and vendors in a professional and courteous manner; ensure sign-in and visitor protocols are followed.
  • Answer and direct incoming calls, voicemails, and emails to the appropriate departments or personnel.
  • Maintain a clean, organized, and welcoming front office and lobby environment.
  • Manage mail and package delivery—receiving, sorting, logging, and distributing appropriately.
  • Support administrative functions such as document scanning, filing, and digital record maintenance.
  • Maintain confidentiality of sensitive business and employee information.
  • Perform additional administrative tasks and special projects assigned by management.


QUALIFICATIONS AND EDUCATION REQUIREMENTS

COMPETENCIES

  • Manages multiple priorities effectively; maintains calendars, files, and schedules efficiently.
  • Demonstrates clear, professional verbal and written communication with internal and external stakeholders.
  • Accurately completes administrative tasks and documentation.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word) and comfortable with digital file systems.
  • Provides courteous, prompt, and professional assistance to clients and staff.
  • Handles sensitive company and employee information with integrity and confidentiality.
  • Projects a polished, reliable image consistent with BLS values.
  • Adjusts to shifting priorities and changing business needs in a fast-paced environment.
  • Demonstrates reliability through consistent attendance and follow-through.
  • Identifies opportunities to improve administrative efficiency and streamline processes.


EDUCATION, EXPERIENCE, CERTIFICATIONS

  • High School Diploma or GED required; Associate’s Degree in Business Administration or related field preferred.
  • 3-5 years of experience in administrative, office support, or receptionist roles (construction or service industry experience a plus).
  • Proficient with Microsoft Office Suite and general office technology (copiers, scanners, phone systems).
  • Valid driver’s license and clean driving record preferred.


PHYSICAL REQUIREMENTS

  • Ability to sit or stand for extended periods.
  • Ability to lift and move up to 25 pounds occasionally (mail, supplies, etc.).
  • Frequent use of computers, phones, and general office equipment.
