Get to Know the Opportunity

The Executive Assistant is a strategic partner to the CIO, providing high-level coordination, executive support, and project oversight. This role blends strategy, communication, and operations, supporting key initiatives in a fast-paced environment. The Executive Assistant manages priorities, facilitates decision-making, and ensures organizational alignment, maximizing the CIO’s impact and efficiency. This position offers a mix of in-office collaboration and remote flexibility.

The Contributions You Will Make

This role is suited for individuals who aspire to grow within the investment industry, providing a unique opportunity engage in high-level administrative and strategic tasks that are integral to the business's success. It is ideal for someone who is ambitious, detail-oriented, and eager to contribute to both the strategic direction and operational excellence of the CIO’s office.

  • Provide proactive executive support to the CIO, including calendar management, travel coordination, expense processing, and meeting logistics.
  • Serve as a gatekeeper for the CIO’s schedule, aligning meetings and commitments with top priorities.
  • Coordinate policy-driven workflows (travel approvals, PTO, expenses) and partner with the AVP, Business Manager to ensure timely execution and compliance.
  • Prepare the CIO for meetings by compiling briefing materials, coordinating with teams, and ensuring readiness for presentations and decision-making.
  • Draft and manage communications on behalf of the CIO, including internal updates, external correspondence, and presentation materials.
  • Act as a central point of contact for the CIO’s office, tracking and following up on action items.
  • Assist with coordination of leadership team meetings, offsites, and planning sessions, managing agendas, materials, and logistics.
  • Build strong relationships across departments to facilitate smooth communication and collaboration.
  • Handle highly sensitive matters with confidentiality and professionalism, often involving senior leadership or organizational changes.
  • Provide effective written and verbal communications across all levels of the organization and across business units.
  • Responsible for understanding and complying with firm policies and procedures while performing the role outlined above.

Minimum Knowledge & Experience

  • Bachelor’s degree required plus at least 5 years of experience in business management, project management, or high level strategic/administrative support.
  • Strong organizational and project management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Exceptional written and verbal communication skills with proven ability to interact at all levels of an organization.
  • High emotional intelligence, discretion, and professional judgment in handling sensitive information.
  • Strong collaboration skills, with demonstrated ability to partner effectively across teams and functions.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Professional, and Concur.
  • Experience with gathering and analyzing data to support decision-making.

Compensation Pay Disclosure:

Voya is committed to pay that’s fair and equitable, which means comparable pay for comparable roles and responsibilities.

The below annual base salary range reflects the expected hiring range(s) for this position in the location(s) listed. In addition to base salary, Voya offers incentive opportunities (i.e., annual cash incentives, sales incentives, and/or long-term incentives) based on the role to reward the achievement of annual performance objectives. Please note that this salary information is solely for candidates hired to perform work within one of these locations, and refers to the amount Voya Financial is willing to pay at the time of this posting.

Actual compensation offered may vary from the posted salary range based upon the candidate’s geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Salaries for part-time roles will be prorated based upon the agreed upon number of hours to be regularly worked.
