Cibola General Hospital is hiring**

We're seeking an OR Supply Coordinator to join our team of compassionate caregivers. Our 25-bed critical access hospital allows our compassionate caregivers to provide excellent patient care in an environment that supports them in their professional growth and development with the latest technologies. Cibola General Hospital is one hour from Albuquerque and close to Santa Fe. Known for its mild year-round climate and outdoor activities, Grants NM offers low property taxes and inexpensive housing costs.

Cibola General Hospital provides services in general surgery, 24-hour Emergency care, Intensive Care, Internal Medicine, Obstetrics, Pathology, Pediatric Dentistry, Podiatry, Primary Care and Radiology with X-ray, CT, MRI. We have three operating rooms including a room for scopes. Clinics, Lab services, Pharmacy, Cardiopulmonary, and Rehab, and skilled care beds are provided.

JOB SUMMARY AND SCOPE:

The Operating Room Supply Coordinator is responsible for the efficient procurement, receipt, organization, maintenance, and distribution of all surgical and hospital supplies, equipment, and materials. This position serves as a key liaison between the Surgical Services Department and the Materials Management team to ensure that all supplies are available, properly stored, accurately tracked, and compliant with hospital policies and regulatory standards. The role ensures a seamless flow of materials that support patient care and surgical operations.

PRINICIPAL RESPONSIBILITIES:

Materials Management and Receiving

  • Receive, log, and catalog all incoming supplies, equipment, and surgical instruments.
  • Verify deliveries against packing slips and purchase orders; promptly report discrepancies or damages to management.
  • Maintain proper documentation, including serial numbers, vendor information, and purchase order details.
  • Coordinate with vendors to ensure timely deliveries and resolve order discrepancies.
  • Prepare outgoing shipments, including documentation and logging of repairs or returns.

Inventory and Distribution

  • Maintain inventory levels of both chargeable and non-chargeable supply items.
  • Adjust PAR/Max levels to minimize stockouts and overstocking, ensuring optimal cost efficiency.
  • Stock and rotate supplies in all designated areas, including surgical suites and storage rooms.
  • Maintain clean, organized, and properly labeled storage areas for all supplies and instruments.
  • Distribute supplies to departments in a timely manner and respond to urgent or emergency requests.

Surgical Support

  • Collaborate with operating room staff to ensure surgical materials are available and prepared before procedures.
  • Communicate potential shortages, delays, or substitutions to surgical teams proactively.
  • Assist in anesthesia supply management
  • Monitor sterility and expiration dates on all surgical and sterile materials; ensure compliance with infection control standards.

Compliance and Safety

  • Ensure compliance with all hospital policies, regulatory requirements, and infection control procedures.
  • Properly dispose of expired, contaminated, or defective materials.
  • Maintain confidentiality and handle all protected health information (PHI) appropriately.
  • Follow all safety protocols for lifting, handling, and storing materials.

Other Duties

  • Participate in both department meetings and assist with special projects as assigned.
  • Maintain professional relationships with staff, vendors, and external service providers.
  • Perform other duties consistent with the role�s purpose as assigned by leadership.

POSITION QUALIFICATIONS:

Education:

  • High School Diploma or equivalent required.
  • Previous experience in experience in Materials Management, logistics, or supply chain distributions and healthcare preferred.

Experience: Previous clerical experience with experience in Microsoft Office, (Outlook, Word, and Excel). The ability to maintain sensitive/confidential information. Initiative to complete duties and attention to detail important.
