We are seeking a legal and administrative assistant who will support the Customer Regulatory and Resolution group within the Legal Department.
Responsibilities:
- Provide secretarial and administrative support for a number of counsels and paralegals.
- Maintain and up-date extensive filing system.
- Open, organize and maintain files and documents including computer files.
- Gathering information from various corporate systems and consolidating into Legal Department’s file system for rapid and effective retrieval.
- Maintain and coordinate efficient flow of documents, including various databanks.
- Review and monitor status of files and assist with follow-up.
- Type, format and assemble correspondence and documents for court.
- Organize and coordinate meeting/conference calls as well as travel arrangements for Counsel and Legal agents.
- Ensure follow-up on status of action items/projects.
- Coordinate and liaise with internal and external parties.
- Provide accurate document preparation support by composing and/or editing a variety of documents, including highly confidential correspondence, memoranda and contracts.
- Calculate court deadlines to ensure timely handling and preparation of relevant proceedings and insert them in the agenda of lawyers and paralegals responsible for the file.
The selected candidate may not necessarily have experience to perform all tasks and will receive hands on training from our capable team.
- Minimum of high school degree with a minimum of 3 years of secretarial work experience;
- Excellent secretarial and clerical skills;
- Excellent organizational and administrative skills;
- Excellent communication and interpersonal skills;
- Excellent attention to detail;
- Ability to build strong professional working relationships;
- Ability to work without immediate and constant supervision;
- Ability to work under pressure with speed and accuracy and establish priorities in order to meet deadlines;
- Demonstrate a high degree of tact, discretion and good judgment in recognizing scope of authority and in protecting confidential information;
- Desire to take on new initiatives, to learn and adapt to new types of work and to changing requirements;
- A desire and ability to continuously expand and update professional knowledge and hone training skills in order to enhance individual and team innovation and productivity;
- Proficient computer skills using Microsoft Office: Word, Outlook, PowerPoint and Excel;
- Legal background, an asset.
- Demonstrate punctuality and dependability to support overall team success in a fast-paced environment
Knowledge of the industry is an asset. A successful candidate will be one who takes pride in his or her role as a representative of the Best Airline in North America.
