Summary
The Executive Assistant to the Executive team provides high-level administrative support to the team by managing their schedules, handling communications, organizing meetings, and ensuring the efficient operation of the executive office. This role requires exceptional organizational, communication, and multitasking skills.
Responsibilities
- Calendar Management:
- Manage and maintain the CEO’s complex calendar, ensuring efficient scheduling of meetings, travel, and appointments.
- Prioritize and resolve conflicts in the CEO’s schedule.
- Coordinate internal and external meetings, ensuring preparation materials are provided.
- Travel Coordination:
- Organize domestic and international travel arrangements, including flights, accommodations, and transportation.
- Prepare detailed itineraries, ensuring all travel logistics are aligned with the Executive team’s schedule.
- Meeting Support:
- Prepare agendas, documents, and materials for meetings.
- Take meeting minutes, ensuring follow-up on action items.
- Handle logistics for virtual and in-person meetings, including coordinating with participants.
- Communication Management:
- Act as a point of contact between the Executive’s and internal/external stakeholders, including clients, executives, and board members.
- Manage and filter email communications, responding or redirecting as appropriate.
- Draft and review correspondence on behalf of the Executive team.
- Document and File Management:
- Maintain an organized system for important documents, files, and records for the Executive team.
- Assist with the preparation of reports, presentations, and other business documents.
- Project Management:
- Assist in tracking and following up on key projects that the Executives are involved with.
- Coordinate tasks and deadlines with team members or other departments to ensure timely completion of projects.
- Event Planning:
- Organize company events, board meetings, and other important functions that the Executives attend or lead.
- Coordinate with vendors, handle logistics, and ensure smooth execution.
- Confidentiality & Discretion:
- Handle sensitive information with the utmost confidentiality and discretion.
- Demonstrate high levels of professionalism and integrity in all interactions.
- Special Projects:
- Support the Executive team with various special projects as needed, often requiring independent research, data gathering, and report preparation.
- Miscellaneous Support:
- Provide general administrative support to the Executive team, including managing personal tasks, handling calls, and assisting with daily needs.
Required Qualifications
- Experience: Minimum of 5 years of experience as an executive assistant, preferably supporting C-level executives.
- Education: Bachelor’s degree or equivalent work experience.
- Skills:
- Excellent written and verbal communication skills.
- Exceptional organizational and time-management skills.
- Strong attention to detail.
- Ability to handle multiple tasks simultaneously and manage time effectively.
- High proficiency in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams), and familiarity with project management tools.
- Strong interpersonal skills with the ability to build relationships across various levels of the organization.
Preferred Qualifications
- Experience with event planning and project management.
- Knowledge of industry-specific software or tools.
- Ability to work under pressure and meet deadlines in a fast-paced environment.
- High level of professionalism, with the ability to maintain confidentiality and discretion at all times.
Location: This position is primarily an on-site role in Longmont, CO with partial remote work available after training is complete.
Base Compensation: $75,000-$90,000 is the projected compensation range for this role depending on the candidate’s overall qualifications and experience.
