Job Summary
The Traffic Project Coordinator is responsible for the coordination and execution of designated business responsibilities for assigned branded account(s).  This role will manage and execute specific client-related tasks and will interact directly with Account Management, Creative teams, including Production, Ad Ops, Accounting, and in some instances the clients.  They will act as a liaison between internal Moroch departments and the Account Management market lead.  

Responsibilities

Process Development & Maintenance

  • Collaborate with Client Operations Team to streamline processes based on client's scope of work
  • Participate in discovery/review sessions with each internal department to identify opportunities for improving current processes.
  • Provide consistent feedback on new and existing processes and procedures.
  • Adopt a proactive approach.

Traffic 

  • Work with Account Management lead to obtain direction for creative fulfillment and trafficking from market to market on both local and DMA wide plans
  • Review and input traffic assets by media type into the master Smartsheet documents
  • Coordinate final traffic approval with the appropriate reviewers prior to release of traffic instructions to external vendors
  • Ensure all creative assets are trafficked by the due date as requested by media partners
    • Including but not limited to Broadcast / Site Direct / Programmatic / SEM / Social / OOH
  • Ensure all timelines for traffic are adhered to and flagging any delays in process
  • Manage all Existing Estimate requests for broadcast (if applicable)
  • Work with Business Affairs to ensure T&R (shells, fills, and finished spots) are within cycle

Creative Development & Versioning

  • Support coordination of the design and development of local creative assets between Account Management team and internal/external vendors
  • Support coordination of versioning of creative assets after receiving client direction for creative execution 
  1. Creative assets include, but are not limited to, TV, radio, display, social, OOH, digital video, connected TV, streaming audio, Snapchat, SEM, Direct Mail
  • Assist with opening and managing internal production jobs through ADV and through Basecamp
  1. Manage milestones for every internal creative project
  2. Manage all client creative revisions on internal projects through Basecamp
  • Ensure all production jobs are on time and within budget
  • Adhere to all timelines for all production jobs and adjust timing as needed
  • Ensure legal approval is received on all production elements, as required by the client
  • Solicit final approval of all creative elements by Account Management Lead
  • Manage and maintain the Smartsheet(s) as developed for each client 
  • Distribute the appropriate Smartsheet information to the traffic, broadcast, digital, SEM, and OOH disciplines

Communication

  • Maintain open line of communication with the Account Management team on client expectations
  • Participate in Account Management status meetings and client status/communication as requested
  • Maintain open line of communication with internal disciplines to ensure timely and accurate fulfillment of projects
  • Respond to, or acknowledge receipt, requests and emails within the same business day or within 24 hours at most
  • Generate new ideas and provide recommendations on improvement of current Moroch/client processes

Financial Management

  • Process Purchase Orders as needed
  • Ensure creative and versioning projects are completed within the approved client budget
  • Individually assign each production invoice to its proper DMA/client
  • Generate all estimates and pre-bills associated with internal production jobs
  • Submit expense reports timely and follow the Moroch travel policies for reimbursement

Qualifications

  • Microsoft Office including Word, Excel, PowerPoint, Outlook, 
  • Prior experience as an Account Coordinator or within Account Management or Media Planning is preferred.  
  • Ability to be trained in the Moroch systems and processes. Including SharePoint, Webvantage, Basecamp, Media Tools, Smartsheets, METS, and Moroch presentation systems and equipment.
  • Ability to define marketing needs, develop ideas, collect data, establish facts, plan meetings & meet deadlines.
