Job Purpose & Scope:

Responsible for monitoring and overseeing the daily lockbox processing operations. Coordinates monthly meetings, generates monthly reporting and interacts with other departments as needed. Processes lockbox/remittance accounts manually or via an automated system according to procedures. Oversees the processing of internal and external mail. Ensures proper setup of new clients and maintains all client lockbox files per Bank policy and industry standards.

Essential Job Functions:
  1. Oversees daily processing operations and staff.

  2. Processes lockbox accounts according to detailed procedures.

  3. Identifies areas to improve productivity and efficiency.

  4. Maintains current processing procedures.

  5. Ensures setup of new clients on all lockbox automated systems.

  6. Interfaces with third party vendors.

  7. Coordinates with other Association Services management on lockbox related matters.

  8. Communicates with clients as needed to ensure customer service needs are meet.

  9. Ensures daily mail pick up.

  10. Performs and maintains disaster recovery processes.

  11. Ensures staff remain informed of all operational matters and Bank policies.

  12. Communicates with Association Services staff with regard to customer service issues and expectations.

  13. Regularly exercises discretion and judgment in the performance of essential job functions.

  14. Maintains good punctuality and attendance to work.

  15. Follows Bank policy, guidelines, and procedures.

  1. Knowledge of lockbox functions and procedures.

  2. Ability to demonstrate effective time management and organizational skills.

  3. Ability to use a 10-key calculator.

  4. Ability to manage multiple priorities and projects.

  5. Ability to create production reports.

  6. Ability to communicate effectively both verbally and in writing.

  7. Ability to lead others by example and by verbal and written instruction.

  8. Ability to demonstrate excellent customer service skills.

  9. Ability to respond to internal (i.e., departmental staff, business development staff, branch staff) requests and demands professionally and promptly.

  10. Ability to solve operational and practical problems.

  11. Ability to work well in a fast-paced environment while maintaining desired service and accuracy levels.

  12. Ability to work well with exacting deadlines.

  13. Ability to adapt well to repeated interruptions and change.

  14. Ability to interpret various instructions via oral or written.

  15. Ability to multi-task and maintain attention to detail.

  16. Willingness and ability to assist other staff members with their responsibilities as needed.

  17. Ability to work extended hours as necessary.

  18. Ability to lift boxes in the mail room/lockbox and trays of checks when processing cash letters (up to 25 lbs.) with or without accommodation.

  19. Ability to work in area with loud equipment with or without accommodation.

  20. Skill in using computer, including knowledge of basic computer file structure and configuration techniques, and Microsoft Office, including Word, Excel, and Outlook.

Basic Qualifications:
  1. High school diploma or equivalent required; bachelor degree preferred.

  2. Minimum of three (3) years’ experience in lockbox required. 

  3. Minimum of one (1) year of supervisory experience preferred. 

  4. Valid driver’s license with good driving record required.
