We are seeking a highly motivated and experienced Outreach Coordinator to join our team in leading outreach efforts for the H-GAC Enterprise Services programs. In this role, you will develop and execute comprehensive outreach strategies to engage government agencies, vendors, and key stakeholders, while collaborating closely with internal departments to ensure successful program implementation. A significant part of this position involves managing conferences and events across the United States, including coordinating logistics, supporting staff participation, and ensuring effective representation of our programs. Travel to conferences and events will be required.
What will I be doing? ü Manage all aspects of conferences and events across the United States that promote H-GAC Enterprise Solutions programs, including coordinating booth reservations, sponsorships, and speaking opportunities; handling event logistics such as shipping, promotional inventory, and booth setup; supporting staff members who attend and host events by ensuring they have the necessary resources, schedules, and talking points; overseeing lead capture and follow-up processes to measure event outcomes and return on investment; and serving as the primary point of contact for vendors, partners, and internal staff involved in event planning and execution. ü Identify and build relationships with key stakeholders, including government officials, procurement officers, and vendor representatives. ü Plan, coordinate and lead outreach events, workshops, and training sessions for government agencies and vendors. ü Represent the organization and the H-GAC Enterprise Services programs at conferences, trade shows, and industry events, delivering presentations and networking with potential clients. ü Utilize graphic design skills to create visually compelling outreach materials, including newsletters, brochures, presentations, and social media content. ü Collaborate with the marketing team to develop and implement digital marketing campaigns to promote the H-GAC Enterprise Services programs. ü Track and analyze outreach efforts, providing regular reports on the effectiveness of outreach strategies and making recommendations for improvement. ü Conduct research and analysis to identify new outreach opportunities and potential partnerships. ü Stay up-to-date with industry trends, procurement regulations, and best practices in cooperative purchasing and economic development. ü Monitor and evaluate the effectiveness of outreach programs, making necessary adjustments for optimal results. ü Stay updated on industry trends, best practices, and emerging technologies in outreach and community engagement. ü Additionally, the Outreach Coordinator will be responsible for performing any other job duties assigned by the manager to support the overall objectives and success of the department. |
Key Qualifications
ü Demonstrated experience planning and coordinating conferences, trade shows, or large-scale events.
ü Basic graphic design skills with the ability to create marketing and outreach materials; experience with Adobe Creative Suite or Canva preferred.
ü Excellent communication and interpersonal skills, with the ability to build and maintain relationships with diverse stakeholders.
ü Ability to travel to conferences and events as required.
ü Strong organizational skills and the ability to manage multiple projects simultaneously.
ü Ability to analyze outreach and event data, prepare reports, and recommend improvements based on measurable outcomes.
ü Knowledge of social media platforms and their role in outreach and community engagement.
ü Proficiency in using outreach and CRM software/tools.
ü Proficient in Microsoft Office software applications.
