The Role

The Inventory Control Coordinator is responsible for the efficient management of the maintenance stockroom and the integrity of inventory data within the Computerized Maintenance Management System (CMMS). This role ensures that all spare parts and materials are accurately tracked, properly stored, and readily available to support maintenance operations. The coordinator plays a key role in maintaining optimal inventory levels, supporting work order execution, and driving continuous improvement in inventory control processes.

Key Responsibilities:

Inventory Control & Stockroom Management

  • Maintain a clean, organized, and efficient stockroom layout to ensure quick access and accurate part retrieval.
  • Receive, inspect, and shelve incoming parts and materials, ensuring proper labeling and storage.
  • Perform regular cycle counts and full inventory audits to ensure accuracy and reconcile discrepancies.
  • Monitor and update minimum and maximum stock levels based on usage trends and lead times.
  • Identify obsolete, slow-moving, or excess inventory and recommend disposition strategies.

CMMS System Management

  • Accurately input and update inventory data in the CMMS, including part descriptions, locations, quantities, and supplier information.
  • Create and maintain part records, including new part setup with appropriate categorization and metadata.
  • Track and manage parts associated with open Work Orders (WO), ensuring timely availability and flagging WOs waiting for parts.
  • Generate and maintain reports on inventory levels, usage history, and reorder needs.

Procurement & Vendor Coordination

  • Request and follow up on quotes for parts and materials from approved vendors.
  • Collaborate with the purchasing team to ensure timely ordering and delivery of required items.
  • Verify packing slips and invoices against received goods and resolve discrepancies with suppliers.

Support for Maintenance Operations

  • Ensure parts are available and staged for scheduled maintenance activities.
  • Communicate proactively with maintenance planners and technicians regarding part availability and delays.
  • Assist in identifying critical spares and ensuring their availability to minimize equipment downtime.

Expectations of the Role:

Attention to Detail & Accuracy

  • Maintain high standards of data accuracy in the CMMS to support effective maintenance planning and decision-making.
  • Ensure all inventory transactions are recorded in real-time and reflect actual stock levels.

Organizational Excellence

  • Keep the stockroom in a state of continuous order and cleanliness, following 5S principles.
  • Implement and maintain clear labeling, bin locations, and visual management tools.

Proactive Inventory Management

  • Anticipate inventory needs based on maintenance schedules and historical usage.
  • Take initiative to resolve inventory issues before they impact operations.

Communication & Collaboration

    Work closely with maintenance, purchasing, and finance teams to align inventory practices with operational goals.

    Provide timely updates on inventory status, shortages, and procurement delays.

Continuous Improvement

  • Identify and implement improvements in inventory control processes, stockroom layout, and CMMS utilization.
  • Participate in root cause analysis for inventory discrepancies and develop corrective actions.

Qualifications:

  • Experience in inventory control and spare parts management.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with CMMS (Computerized Maintenance Management Systems).
  • Strong organizational skills and ability to maintain a clean and orderly workspace.
  • Ability to generate and maintain daily reports related to inventory and maintenance activities.
  • Willingness and physical ability to lift heavy items as needed.
  • Experience working with machinery and mechanical components is an asset.
  • Valid forklift license preferred (training can be provided if needed).
  • Availability to work overtime when required.
  • Excellent communication skills, both verbal and written.
  • Proactive attitude, with a focus on continuous improvement and attention to detail.
