Description
The Fleet Coordinator is responsible for coordinating the movement of domestic, import, and
export shipments while overseeing dispatch operations for company-owned and third-party carriers. This role
requires a highly organized, adaptable individual who can manage multiple priorities in a fast-paced environment
while ensuring safe, cost-effective, and timely deliveries. The position plays a key role in documentation, driver
and equipment coordination, and communication with internal and external stakeholders.
Requirements
Duties and Responsibilities
- Prepare all necessary shipment documentation, including Bills of Lading, Work Orders, Packing Lists, and Customs Invoices.
- Schedule and coordinate customer pickups and deliveries with both company-owned fleet and reputable carriers.
- Schedule inbound and outbound freight, balancing timely delivery, cost, and quality of service.
- Monitor daily pickups and deliveries to ensure customer satisfaction.
- Oversee equipment and material availability; assign drivers, trucks, and additional drivers as needed.
- Maintain and update databases containing shipment tracking information.
- Review freight bills for accuracy and maintain carrier insurance and rates.
- Facilitate and oversee communications during the transport process, relaying updates to drivers, operations, and customers.
- Coordinate shipment scheduling and ensure timely and accurate system recording (shipment notices, weights, etc.).
- Seek opportunities to improve service levels and efficiency while meeting customer needs.
- Perform all duties in compliance with Standard Operating Procedures, Safety Procedures, and Company Policies.
- Facilitate, set up, and execute export shipments.
- Organize and maintain company assets and equipment.
- Apply basic knowledge for upkeep of trailer safety and mechanical compliance.
- Maintain general knowledge of DOT driver and equipment safety requirements.
- Demonstrate minor mechanical aptitude in support of equipment upkeep.

- Strong leadership ability to ensure driver compliance with direction and assignments.
- Detail-oriented with the ability to handle multiple priorities under pressure.
- Basic knowledge of Excel, Outlook, and Word.
- Basic understanding of geographical areas and mapping programs to support efficient routing.
- Proficiency with or ability to quickly learn dispatch and recordkeeping systems.
Education/Experience
- High school diploma or GED required; Bachelor’s degree preferred.
- 1–2 years of dispatch or logistics coordination experience.
- Importing and exporting experience a plus.
- Nonferrous industry experience desired.
Physical Requirements
- Must have sufficient physical mobility and agility to access trucks, warehouse areas, and other distribution facilities.
- Office Environment. Utilizing an office desk-sitting, reading, listening or speaking with the ability to move intermittently throughout the day
- Strong sensory skills, such as good eyesight, good hearing and dexterity
- Ability to operate office equipment, including computers, copiers, fax machines, and phones
- Exposure to physical operations in scrap recycling facilities, including walking/climbing in active industrial yards with uneven surfaces in inclement weather
