Description

The Fleet Coordinator is responsible for coordinating the movement of domestic, import, and 

export shipments while overseeing dispatch operations for company-owned and third-party carriers. This role 

requires a highly organized, adaptable individual who can manage multiple priorities in a fast-paced environment 

while ensuring safe, cost-effective, and timely deliveries. The position plays a key role in documentation, driver 

and equipment coordination, and communication with internal and external stakeholders.


Requirements

Duties and Responsibilities

  1. Prepare all necessary shipment documentation, including Bills of Lading, Work Orders, Packing Lists, and Customs Invoices.
  2. Schedule and coordinate customer pickups and deliveries with both company-owned fleet and reputable carriers.
  3. Schedule inbound and outbound freight, balancing timely delivery, cost, and quality of service.
  4. Monitor daily pickups and deliveries to ensure customer satisfaction.
  5. Oversee equipment and material availability; assign drivers, trucks, and additional drivers as needed.
  6. Maintain and update databases containing shipment tracking information.
  7. Review freight bills for accuracy and maintain carrier insurance and rates.
  8. Facilitate and oversee communications during the transport process, relaying updates to drivers, operations, and customers.
  9. Coordinate shipment scheduling and ensure timely and accurate system recording (shipment notices, weights, etc.).
  10. Seek opportunities to improve service levels and efficiency while meeting customer needs.
  11. Perform all duties in compliance with Standard Operating Procedures, Safety Procedures, and Company Policies.
  12. Facilitate, set up, and execute export shipments.
  13. Organize and maintain company assets and equipment.
  14. Apply basic knowledge for upkeep of trailer safety and mechanical compliance.
  15. Maintain general knowledge of DOT driver and equipment safety requirements.
  16. Demonstrate minor mechanical aptitude in support of equipment upkeep.

Job Requirements/Skills

  1. Knowledge and understanding of logistics and transportation systems and concepts.
  2. Strong organizational skills with the ability to manage and assign routes.
  3. Excellent communication and interpersonal skills, both written and verbal.
  4. Problem-solving and negotiation skills.
  5. Strong leadership ability to ensure driver compliance with direction and assignments.
  6. Detail-oriented with the ability to handle multiple priorities under pressure.
  7. Basic knowledge of Excel, Outlook, and Word.
  8. Basic understanding of geographical areas and mapping programs to support efficient routing.
  9. Proficiency with or ability to quickly learn dispatch and recordkeeping systems.

Education/Experience

  1. High school diploma or GED required; Bachelor’s degree preferred.
  2. 1–2 years of dispatch or logistics coordination experience.
  3. Importing and exporting experience a plus.
  4. Nonferrous industry experience desired.

Physical Requirements

  1. Must have sufficient physical mobility and agility to access trucks, warehouse areas, and other distribution facilities.
  2. Office Environment. Utilizing an office desk-sitting, reading, listening or speaking with the ability to move intermittently throughout the day
  3. Strong sensory skills, such as good eyesight, good hearing and dexterity
  4. Ability to operate office equipment, including computers, copiers, fax machines, and phones  
  5. Exposure to physical operations in scrap recycling facilities, including walking/climbing in active industrial yards with uneven surfaces in inclement weather
