Major/Essential Functions
- Responsible for working with a team for the planning and development of grant funded project and programs in the area of Medical Toxicology and Environmental Health.
- Provides administrative oversight to the Division of Medical Toxicology and the Pediatric Environmental Health Specialty Unit (PEHSU) program and other grant funded programs.
- Works in partnership with the West Texas Regional Poison Center and other internal/external partners to develop and organize symposiums, educational activities and outreach efforts.
- Prepare complex comprehensive documents on grants and program activities, grant documents, special reports and recommendations. Report to granting agencies.
- Oversee and participate in the preparation of performance and evaluation reports for funding agencies.
- Plan, oversee and implement grant funded programs for the department. Prepare project scopes, budgets and provide support as assigned.
- Assist in the development of grant applications, ensure all eligibility, internal and external requirements/deadlines are met. Follow grant application through approval/award process; set up new fund and budget. Supervises staff relating to grant activities.
- Develop written contracts and formal agreements with external agencies to implement partnerships, services, and compensation.
- Coordinate efforts with other grantees at the local, state, and federal levels to efficiently implement the initiative of grant projects.
- Plans and executes educational activities, maintain suspense files for all projects and events. As needed, deliver live education for grant related activities and/or student elective programs.
- Represent the Department and provide information and education to the community during health fairs or other outreach activities for community members or other health care professionals.
- Using the TTUHSC Purchasing system is responsible for purchasing equipment and supplies for division. Assigned a State of Texas procurement card.
- Organize all event logistics including payment to speakers, catering, exhibit booths, vendors, parking, educational material, apply for CEU accreditation, etc.
- Travel in/out of state for participation in educational activities or meetings as required by grant or program guidelines. Attend national/regional conferences. Process travel reimbursement for others including faculty, staff and guest speakers.
- Establish and maintain communication with community organizations and healthcare professionals to provide education and resources.
- Maintains confidential personnel records on department staff, faculty and residents.
- Assist the completion of electronic personnel action forms, labor redistributions, budget revisions, contract billing, transfers, EOPS and other official documents.
- Provides administrative support services to the residency program including, but not limited to, reports, travel, and purchases to name a few.
- Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
- Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).

Preferred Qualifications
- Advanced skills in organization, planning, interpersonal relations, familiar with clinical operations and objectives.
- Overall understanding of other departments.
- Reviews and improves the operational interface between other ancillary and clinical departments.
- Master degree in Administration, Health Management or related area. Intermediate or advanced experience and knowledge in Microsoft Office (Word, Excel, Power Point, Outlook, and Access).r.

- Bachelor's degree in the area of specialization or closely related field plus three years of related administrative and technical experience OR
- a combination of education and/or years of experience in the area of specialization or closely related field to equal a minimum of 7 years.
