Our Function

The Senior Administrative Assistant is responsible for providing focused administrative support to our Client Advisory Group. Which includes 6 senior client facing Relationship Managers, in addition to team of client service representatives. We are seeking a candidate who is highly motivated, possesses excellent organizational and communication skills, and has the ability to multi-task.

Your Impact

Your responsibilities will include but are not limited to the following:

  • Provide general administrative support
    • Maintain Outlook Calendar
    • Schedule domestic and international travel / itinerary coordination
    • Screen incoming calls and correspondence
    • Answer phones, take messages and field any routine questions
    • Ensure appropriate materials for meetings are gathered and prepared
  • Submit and manage expense reimbursements through Concur
  • Assist with marketing materials (pitch books, RFPs, presentations, etc.)
  • Enter data into Salesforce
  • Request marketing materials as needed and print all notes previously inputted prior to client/prospective meetings
  • Input meeting updates/summaries, wins, etc. and ensure accuracy of all data
  • Assist with special Ad-Hoc projects as needed

Your Required Skills

Your required skills must include:

  • 7-10+ years’ experience as an Executive/Administrative Assistant at an Asset Management firm
  • Outstanding phone manners
  • Ability to establish priorities with demonstrated ability to juggle multiple tasks and demands
  • Possess excellent verbal and written communication skills
  • Must be able to interact and communicate with individuals at all levels of the organization and external clients
  • Ability to work with a team and possess high level of interpersonal skills
  • Familiarity with Microsoft Office (MS Word, Excel, PowerPoint, Outlook)
  • Strong attention to detail, highly organized and efficient

The base salary range for this role is $100,000-$125,000. Individual salaries for this role may vary based on various factors including but not limited to, years of experience, range in corporate level, candidate skills, and geographic location. Eligibility to participate in a discretionary annual incentive program is subject to rules governing the program, whereby an award, if any, depends on various factors including but not limited to, individual and organizational performance.
