The Sr. Lease Administrator provides hands-on leadership and guidance to the Lease Administration team, supporting the Manager of Lease Management to ensure accurate and timely execution of lease obligations. This role manages all aspects of lease administrative function across an assigned territory and provides oversight of Lease Administration team to ensure compliance across Inspire’s real estate portfolio. The Sr. Lease Administrator is responsible for mentoring team members, initial contact for escalations, assisting with process improvements and ensuring operational excellence in lease administration activities.
RESPONSIBILITIES
- Manage a high-volume lease portfolio, track critical dates such as renewals, expirations, and options. Ensure all renewals and extensions are approved and exercised prior to deadlines. Ensure compliance with lease terms, organizational policies and standards.
- Review renewal letters, estoppels, and other lease documents prepared by team members for accuracy and completeness. Provide guidance, training, and mentoring to support development and maintain ongoing quality standards, while also assisting lease administrators with deal workload during periods of high volume.
- Serve as a primary resource for Lease Administration team members. Review and interpret lease clauses, anticipate potential issues, and take proactive steps to ensure compliance with lease terms. Provide guidance on inquiries related to property issues, repairs and maintenance responsibilities, rent, property taxes, sales tax payments, and other lease matters, while determining appropriate information to share internally or with external stakeholders.
- Primary resource for onboarding, training, and ongoing development for Lease Administration team members, ensuring they understand processes, systems, and compliance standards.
- Maintain excellent long-term relationships with external clients such as Landlords, property managers, and lenders as well as internal clients such as Legal, Real Estate, Accounting, Facilities, Franchise Services, Risk, etc.
- Assist insurance brokers with processing insurance certificate changes and determine what can/cannot be included on certificate based on third party requests. Track receipt of subtenants’ insurance certificates to meet critical renewal date and review for accuracy.
- Spearhead strategic and operational projects (acquisitions, dispositions, database enhancements, etc) related to lease management and other special projects as assigned by Manager / Director – Lease Management.
- Manage critical reporting data (i.e. expiration report, ad hoc data reports in CoStar, ETL processes and critical dates that are tracked in CoStar) utilized by internal and external sources to support Inspires lease compliance.
- Assist in creating new efficiencies for the department that can assist in the growth of the department.
- Accurately abstract critical lease information for new leases, renewals, and amendments into the Property Manager database
EDUCATION QUALIFICATIONS
- Preferred 4 Year / Bachelors Degree Or Paralegal Degree
EXPERIENCE QUALIFICATION
- 2-5 years of Lease Administration, Accounting, Business Administration or Legal experience.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
- Strong knowledge of real estate contracts and documents (i.e. leases, amendments, assignments, deeds, estoppels, SNDA’s, license agreements, easements, etc.) with proven ability to interpret and apply lease language.
- Experience with lease abstraction, understanding lease financial requirements, and critical date management.
- High attention to detail with strong organizational, time management, and task prioritization skills.
- Demonstrated leadership ability, including oversight of team members, coaching, and providing constructive feedback.
- Proficiency with Microsoft Outlook, Word, and Excel; strong experience with CoStar or other lease management systems.
- Ability to work independently and collaboratively in a fast-paced, dynamic environment.
- Strong interpersonal and communication skills, with the ability to build effective relationships across departments and deliver excellent customer service.
- Results-oriented, self-motivated, and capable of managing multiple projects and deadlines simultaneously.
- Strong customer service attitude.
