Administrative Coordinator NYC or DC Office

HLG is looking to hire an Administrative Coordinator to join our fast-paced team, with a particular focus on supporting the Global Coalition on Aging, which HLG conceived, created, and manages. GCOA is the world’s leading business voice on aging policy and strategy, with a broad-based global agenda. The Administrative Coordinator will engage in a range of administrative and consulting work in the fields of strategic communications, public affairs, public policy, and business strategy, as well as provide critical administrative support.

 

Responsibilities

  • Conducting market and public policy-related research
  • Constructing reports and presentations for internal and client delivery
  • Drafting client deliverables and other collateral, including fact sheets, messaging documents, blogs, op-eds, newsletters, and press releases
  • Identifying key influencers on relevant issues and important forums where client topics are debated and discussed
  • Developing client proposals and engagement strategies
  • Maintaining client information databases
  • Handling meeting and event management, both inside and outside the office, including RSVP lists, external venue identification, catering coordination and meeting set-up
  • Supporting client needs through excellent interpersonal and communications skills
  • Assisting with client administration and support, as needed
  • Providing high-level administrative support
    • Providing exceptional organizational support to the NYC-based Managing Partner, including calendar and contact management and coordination of global and domestic speaking engagements, presentations, meetings, and travel
    • Managing, vetting, prioritizing and planning for Managing Partner’s meetings, conferences, speaking engagements and business trips, including creating detailed logistical briefs and other preparation materials
    • Coordinating and synchronizing office-wide calendar
    • Coordinating general HLG office administration with Council Advisors office manager

 

Experience and Attributes

  • Motivated self-starter with experience or interest in strategic communications, business, politics, and public policy
  • BA with relevant professional work experience
  • Excellent writing, research, and communication skills
  • Strong attention to detail and the capacity to balance multiple responsibilities in a fast-paced environment
  • The ability to work both independently and as part of a team
  • Strong professional presence
  • High-energy, resourceful, and solutions-oriented
  • Fluent in Microsoft Office (Outlook, PowerPoint, Excel, and Word), Salesforce, and Google Drive
  • Experience with spreadsheets and other data farming techniques
  • Ability to manage multiple tasks and professional services work schedule, which often includes off-hours

High Lantern Group provides a competitive salary range for our open requisitions. Actual salary is influenced by a wide array of factors including but not limited to skill set, experience, training, education, and other business and organizational needs. The range of starting annual salary for this role is $55,000 - $65,000. Decisions will be determined on a case-by-case basis.

In addition to the base salary, this position is eligible for performance-based incentives and a competitive benefits package.
