POSITION SUMMARY
We are seeking a detail-oriented and organized Contract Lifecycle Management (CLM) Software Administrator to maintain and optimize the company's CLM system. This role will be primarily responsible for administering the company’s CLM system, ensuring smooth operations, user support, and alignment with business needs. This role involves managing user access, configuring the system, troubleshooting issues, and providing training to ensure efficient contract lifecycle management processes consistent with the company’s standards and policies and to meet future contracting needs.

ESSENTIAL DUTIES & RESPONSIBILITIES

CLM Operation

  • Collaborate with internal and external stakeholders including the legal, IT, finance, and risk management departments, end users, and the company’s CLM vendor to support the CLM system and the company’s needs.
  • Manage the configuration, operation and maintenance of the company’s CLM system, including its integration with other business systems and tools.
  • Deliver on contract management requests and special projects, reporting and status inquiries.
  • Participate in assessing, refining and executing existing and future business requirements for the CLM system.
  • Maintain the CLM repository of contracts and track key dates (e.g., renewals, expirations, obligations).
  • Monitor CLM system user activity to identify gaps in adoption or compliance.
  • Support contracting insights by providing CLM system audits and reporting.

CLM Support and Training

  • Serve as internal expert and initial point of contact for CLM training, support requests, and dashboards / reporting assistance.
  • Provide support for CLM system-related requests and provide day-to-day troubleshooting and technical support for end users, including coordinating troubleshooting support with the IT department and company’s CLM vendor.
  • Onboard and train new users on the CLM system functionality and company’s configured processes and requirements.
  • Develop CLM training materials, user manuals, and implement training programs for new and existing users as needed.

Contract Templates, Processes and Practices

  • Ensure all CLM processes and practices are compliant with company policies and requirements and identify and mitigate risks in the CLM contracting process and configurations.
  • In collaboration with the legal department, manage the company’s templates, playbook terms, and clause libraries and related configurations in the CLM system.
  • In collaboration with the legal department, design and configure new contract templates and process workflows.
  • Develop and leverage a strong working knowledge of company’s legal, business, and contracting processes.
  • Maintain governance of CLM solutions and drive CLM use best practices across the business to improve quality, accuracy and efficiency.
  • Maintain comprehensive documentation of CLM system configurations, processes, and procedures.

Contracts and Legal Projects Administration

  • Assist the legal department with general contract administration.
  • Assist the legal department with related requests and projects and general administrative needs.
  • Work closely with internal departments such as Finance and Operations to support business needs

EXPERIENCE & EDUCATION

  • Bachelor’s degree in Business Administration, Law, Finance, or a related field.
  • 2+ years of experience administering or supporting a CLM system, contract administration, legal support, or a similar role.
  • Experience with Malbek or similar contract management systems is a plus.
  • Experience working with commercial agreements, legal terms, and contract negotiation principles is a plus.
  • Paralegal certification or in-house legal department work experience is a plus.

SKILLS & QUALIFICATIONS

  • Ability to promptly identify and solve software and process problems.
  • Excellent attention to detail and organizational skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and contract management software.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
