The Opportunity 
We’re seeking a detail-oriented and technology first Chief of Staff to support the CEO across all aspects and divisions of the business. This role is both strategic and operational, requiring someone who can think at the executive level while rolling up their sleeves with task-oriented processes. You will be the right-hand to the CEO and a key liaison with internal departments, team members, clients, and vendors. 
 
Daily responsibilities will require taking initiative and strong communication skills to help implement high-level strategic initiatives, logistical support and special projects. We are a software driven company, so bring a passion for using modern tech both 3rd party and in-house software.  

Please note: This is not a remote position. Must be in the office 5 days per week.

What You'll Do
  • Executive & Strategic Support -
  • Support CEO to manage strategic initiatives and drive execution 
  • Attend, participate in, and lead meetings on behalf of the CEO 
  • Manage CEO’s calendar, email, travel, meeting agendas and presentations 
  • Take meeting minutes, document action items, and follow up to ensure execution 
  • Act as a liaison between the CEO and department heads  
  • Serve as an operational extension of the CEO, operational staff will report to you 
  • Manage executive leadership meetings: build agendas, take meetings minutes, and follow up on action items 
  • Project & Operations Management -
  • Lead cross-functional projects and new business initiatives 
  • Identify and implement operational efficiencies to improve performance 
  • Fill in across departments during employee transitions or gaps 
  • Oversee office renovations, buildouts, and company fleet vehicle purchases 
  • Track goals and key metrics to ensure alignment with business targets 
  • Negotiate and manage key contracts (leases, software, vendors, etc.) 
  • Analyze P&L and balance sheets to identify cost-saving opportunities 
  • Help lead, initiate and implement special projects as assigned by the CEO 
  • Build agendas, materials, and follow-ups for weekly staff and board meetings
  • Team & Culture Leadership -
  • Plan and execute company, client, and internal staff events 
  • Cultivate and maintain a strong team culture and unity 
  • Build and maintain strong relationships with staff, leadership, and external stakeholders 
  • Conduct performance reviews for direct CEO reports 
  • Document and refine business processes and SOPs 
  • AI & Technology Integration -
  • Use AI tools to streamline workflows and enhance decision-making 
  • Improve and provide feedback on internal and third-party software tools 
  • Build dashboards and manage internal reporting systems 
  • Internal Communications & Stakeholder Management -
  • Collaborate with Mangers/Directors to manage internal communications 
  • Help coordinate company-wide announcements, emails, and events  
  • Build and maintain relationships with leadership, staff, and external stakeholders 
  • Provide briefing docs, insights, and feedback to improve decision-making  
  • Drive cross-functional initiatives – Lead special projects (M&A integration, product GTM motions, infra-spend reductions) from concept to measurable outcomes 
  • Additional Responsibilities - 
  • Travel once per quarter (with at least 1-month advance notice) 
  • Be present in the Newport, CA office Monday–Friday by 8:15 AM and be available 7 days per week as needed for CEO calls 
  • Aggregate and synthesize company reports for leadership review 
  • Serve as Asset Manager for CEO’s rental property portfolio 
  • Support hiring efforts, onboarding, and cross-training of staff as needed 
  • Assist with business planning, financial modeling, and presentation development 


  • What Qualifies You
  • 6+ years of experience in a high-level executive support, business operations, or Chief of Staff role 
  • Strong understanding of financial reports (P&L, balance sheet, KPIs) 
  • Excellent project management and organizational skills 
  • Exceptional written, verbal, and interpersonal communication 
  • Highly proficient in Microsoft Excel, Outlook, and AI tools 
  • Experience negotiating contracts and managing vendors 
  • Understanding of software development
