The Events and Experiences Coordinator plays a pivotal role in fostering meaningful engagement with external constituents including donors, community leaders, elected officials, and strategic partners by planning and executing high-impact events that elevate the university’s mission and visibility. This role demands a proactive, detail-oriented, and collaborative professional who thrives in a fast-paced environment and is passionate about delivering exceptional experiences.
Primary Responsibilities
- Event Planning & Execution: Collaborate with event hosts to develop concepts, timelines, budgets, logistics, and guest lists. Coordinate menus, décor, safety/security plans, and other event details to ensure seamless execution
- Vendor Coordination: Liaise with on- and off-campus vendors including caterers, AV providers, transportation companies, florists, rental suppliers, and SEMO Facilities Management to deliver high-quality events
- On-Site Event Management: Attend and oversee events to manage setup, logistics, guest experience, and troubleshoot issues in real time
- Stakeholder Communication: Maintain consistent communication with hosts, internal teams, vendors, and guests to ensure alignment and timely updates
- Marketing & Promotion: Assist in developing promotional materials, invitations, and guest lists to drive appropriate attendance and engagement
- Donor Experience Coordination: Partner with the Manager of Stewardship & Donor Relations to design and implement impactful donor experiences
- Post-Event Analysis: Conduct evaluations to measure success, document attendance, and identify areas for improvement
Position Duties
- Bachelor’s degree. A Bachelor’s Degree in Marketing, Hospitality Management, or Public Relations is a plus.
- Two years of experience in event planning. Experience in higher education or nonprofit sectors a plus.
- Demonstrated exceptional organizational and time management skills
- Strong written and verbal communication skills
- Proven problem-solving mindset and ability to adapt under pressure
- Proficiency in Microsoft Office, specifically Outlook, Excel, and Word. Event management and/or database software experience is a plus.
- Experience and commitment to customer service and stewardship
- Ability to work occasional evening and weekend work to support university events
- Demonstrated ability to work independently and part of a team with a high level of professionalism and discretion
