Summary

We are currently recruiting for a Project Coordinator to join our E&C Business Unit in Calgary. This is a full-time permanent role, offering long-term career development opportunities in a technically advanced and fast-paced industry.

 

In this challenging role, you will be responsible for coordinating a wide variety of project execution and administrative functions. You will work closely with Project Managers, Engineers, Procurement, Manufacturing, Finance, and our customers to ensure projects are executed efficiently, accurately, and with exceptional customer service. The successful candidate will report to the Manager, Operations – Machinery Performance.

Role and Responsibilities

  • Interface effectively with internal project stakeholders (PMs, sales, supply chain, engineering, manufacturing, shipping/receiving, finance) and external customers.
  • Set up projects in Spartan Business Systems (SAP-based platform).
  • Reconcile customer purchase orders against project proposals.
  • Manage the administrative aspects of projects, including invoicing, bill of materials, shipping documentation, and customer communications.
  • Coordinate vendor communications, delivery scheduling, and expediting as required.
  • Support Project Managers with cost tracking, scheduling, materials management, and documentation.
  • Maintain accurate, organized, and up-to-date project records, ensuring audit-ready documentation.
  • Prioritize workload to meet customer and business requirements in a fast-paced environment

Qualifications and Skills

  • Experience with SAP or other ERP systems considered an asset.
  • Highs school diploma is required; Business, Accounting, or Project Management education and experience is preferred.
  • Familiarity with purchase orders, bills of materials, quotes, invoices, etc.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional attention to detail, with a focus on accuracy and quality.
  • Excellent communication, organizational, and interpersonal skills.
  • Ability to manage multiple priorities, independently and within a team.
  • Strong customer service practices and relationship-building abilities.
  • Self-motivated, dependable, and accountable with an entrepreneurial work ethic.
