Position Summary:
The Transportation Supervisor monitors and provides cross-functional support of the day-to-day operations in the transportation department. The Transportation Supervisor demonstrates excellent problem-solving and communication skills in the following areas of the department including; brokerage, dispatch, fleet maintenance, driver performance/compliance, carrier performance/compliance, and safety compliance. The Transportation Supervisor will provide analytical and technical support by generating and maintaining KPI metrics for the department with a strong emphasis on controlling costs and will perform other duties as assigned by the General Manager.
Responsibilities:
- Oversee transportation operations including scheduling and routing of drivers and carriers.
- Maintain working knowledge of staff positions and provide back up support
- Train and develop staff while providing frontline coaching on best practices
- Initiate resolutions to team problems and escalate to GM as needed
- Become the TMS and systems expert by providing frontline support to the team
- Ensure drivers are adhering to safety standards and following traffic regulations
- Assist in OS&D, claims resolutions, reporting, and 5s record keeping
- Demonstrate excellent communications skills with internal/external stakeholders
- Ensure carrier routing guide compliance to reduce cost and escalate non-conformance
- Ensure correct shipper/carrier rates are utilized in TMS
- Coordinate vehicle maintenance and repairs to avoid costly breakdowns
- Communicate vehicle downtime expectations to dispatch and GM
- Audit vehicle and driver records to ensure compliance (no expirations/violations)
- Develop and implement and maintain transportation policies and procedures to improve efficiency, safety, and cost-effectiveness (SOPs)
- Assist in coding, reconciling and solving invoice discrepancies for accuracy
- Track carrier/driver on time performance and adherence to mileage/lane commitments
- Monitor KPI reports as deemed by the GM to improve cost and drive efficiency
- Ensure teams are in compliance with company policies, state and federal regulations and mandates, and industry standards
- Collaborate with GM regarding team development and engagement activities
Essential Functions
- Collaborates with Transportation Team and General Manager to apply best practices with department stakeholders.
- Ensures all emails within group email boxes are answered in a timely fashion to meet customer and stakeholder needs.
- Provides operational support and problem solving for team members.
- Cross-train with the Transportation office team and backfill desks as required.
- Conducts weekly freight and payroll audits for accuracy
- Plays a leading role in OS&Ds and Claims reporting and resolutions
- Audits invoices for accuracy and payment processing.
- Reconciles driver payroll and vendor receipts
- Establishes excellent rapport with clients and procurement teams (internal/external)
- Stays up to date with all technical systems utilized in the department (SME)
- Escalates / updates important issues or anomalies to General Manager
Required Skills and Abilities:
- Ability to communicate effectively both orally and in written form
- Ability to operate a PC and various software including but not limited to: Microsoft Outlook, Word, Excel, PowerPoint and other systems like Alvys TMS, Motive, Samsara and PC Miler
- Strong EXCEL skills required (Intermediate to Advanced)
- Ability to prioritize multiple tasks independently in a fast-paced environment
- Must possess effective problem solving / analytical skills and highly organized.
- Excellent customer service skills for interaction with internal/external customers
- Understanding of DOT and OSHA rules and regulations preferred
Education:
- High School Diploma or equivalent experience
- Degree in Transportation Logistics or Business preferred
Experience:
- 2-5 years of Transportation Logistics experience in an office environment
- Experience using Transportation Management Systems
- Freight Broker and Dispatch experience preferred
- Familiar with DOT, FMCSA, SAFER and accounting principles preferred
