Executive Assistant, Strategic Projects

The Executive Assistant is responsible for supporting our Chief Executive Officer through complex administrative and project coordination tasks. This role involves managing schedules, travel arrangements, communication between departments, and confidential information. Additionally, this position supports project management by developing timelines, tracking progress, preparing leadership updates, and promoting team collaboration to meet objectives. The ideal candidate is highly organized, proactive, and experienced in project planning, stakeholder communication, and deadline management.

Core Purpose: To create loyal, lifelong fans and exercise practitioners.
Key Responsibilities:
- Coordinate complex calendars, schedule meetings, and manage appointments across time zones.
- Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Serve as a point of contact between executives and internal/external stakeholders.
- Draft, proofread, and format correspondence, reports, presentations, and meeting materials.
- Act as a right-hand to executives on high-priority initiatives, ensuring alignment between administrative and project goals.
- Facilitate communication between departments, bridging gaps between leadership and project teams.
- Tackle special assignments with agility—whether it's event planning, research, or crisis coordination.
- Organize and attend meetings, take minutes, and ensure timely follow-up on action items.
- Handle sensitive information with the utmost confidentiality and professionalism
- Assist in developing project timelines, milestones, and deliverables. Monitor progress and update stakeholders.
- Collaborate with cross-functional teams to allocate resources and ensure deadlines are met.
- Prepare regular project updates, dashboards, and summaries for leadership review.
Qualifications:
- 4-6 years’ experience as an Executive Assistant.
- 2-5 years in a project management or project coordinator position preferred.
- Expert skills with Microsoft Office, particularly with Outlook, PowerPoint, Word and Excel.
- Knowledge of Smartsheets or similar project management tools a plus.
- Strong project management and operations skills with demonstrated ability to manage large-scale projects and initiatives using influence and indirect management skills.
- Strong time management skills with the ability to prioritize multiple functions and tasks and manage on time delivery of work.
- Excellent communication skills, both verbally and in writing.
- Excellent relationship building and influencing skills with people at all levels and in all functions.
- Previous experience delivering excellent customer service.
- Strong detail orientation; systematic and thorough approach to problem solving; and good time management, organizational, and recordkeeping skills.

Compensation:
Pay Range $90,000
Schedule: Monday – Friday, weekends as needed
