POSITION SUMMARY:

This position supports the procurement of indirect goods and services essential for the smooth operation of the organization. This entry-level position involves assisting in the sourcing process, managing vendor relationships, and ensuring the procurement of IT materials & services, marketing, facilities management and other indirect categories. The role is ideal for someone with foundational knowledge of procurement who is eager to grow in the field.

 

ESSENTIAL FUNCTIONS:

  • Assist in developing and executing sourcing strategies for assigned categories.
  • Conduct preliminary market research to identify potential suppliers and gather pricing information.
  • Help prepare Request for Proposals (RFPs), Request for Quotes (RFQs), Request for Information (RFI) and other sourcing documents.
  • Assist in evaluating supplier proposals and performance.
  • Support the negotiation of pricing and terms under the guidance of Enterprise Procurement Director.
  • Maintain updated records of vendor information and performance metrics.
  • Process purchase requisition and purchase orders and track their status if necessary.
  • Support the Business to ensure timely delivery of goods and services in accordance with contract terms when necessary.
  • Handle Business inquiries and issues related to procurement and supplier performance.
  • Assist in analyzing spend data to identify cost-saving opportunities.
  • Identify opportunities for efficiency improvements.
  • Support budget tracking and ensure adherence to financial guidelines.
  • Ensure procurement activities comply with the procurement policy and process.
  • Maintain accurate and up-to-date necessary procurement records and documentation.
  • Collaborate with internal teams to understand their procurement needs.
  • Provide administrative support to the Enterprise Procurement Director.
  • Assist in preparing reports on procurement activities, spend analysis, and vendor performance.
  • Utilize procurement software and tools for data entry and report generation
  • Other duties as assigned

 

EDUCATION/EXPERIENCE:

  • Bachelor’s degree in business, supply chain management, or a related field.
  • One (1) to two (2) years of experience in procurement, supply chain, or a related role is preferred but not required.

 

KNOWLEDGE/SKILLS/ABILITIES:

  • Basic understanding of procurement processes and supplier management.
  • Strong organizational and time-management skills.
  • Effective communication and interpersonal skills.
  • Ability to manage multiple priorities and work in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with procurement software or systems is a plus.
  • Spanish and/or Portuguese language skills are considered an asset, but are not mandatory.

 

PHYSICAL DEMANDS:

  • Ability to lift 40 lbs.
  • Ability to travel up to 5% with some overnight travel required
  • Must have valid driver’s license and meet MVR requirements
