About the Role:
We are seeking a professional, highly organized, and detail-oriented Administrative Assistant to support the executive leadership team at our corporate headquarters. This role plays a critical part in managing executive schedules, coordinating multi-subsidiary meetings, and ensuring the seamless operation of high-level administrative functions in a fast-paced and confidential environment.
Key Responsibilities:
²Executive Calendar & Schedule Management
² Manage daily calendars and scheduling for key executives, including the CEO, COO, and other corporate leadership
² Coordinate complex and dynamic schedules across Meruelo Enterprises and its six subsidiaries
² Proactively identify and resolve scheduling conflicts, meeting overlaps, and urgent calendar changes
² Organize executive meetings, board meetings, and cross-functional leadership sessions
² Prepare agendas, materials, and ensure meeting logistics (rooms, technology, catering) are in place
² Take minutes, document key decisions, and track action items for follow-up
² Arrange domestic travel for executives, including flights, hotels, and ground transportation
² Develop detailed itineraries, coordinate across time zones, and adjust plans as needed
² Draft, review, and format executive-level communications and reports
² Manage confidential documents, contracts, and sensitive materials with utmost discretion
² Maintain filing systems and databases for easy access to critical corporate documents
² Act as the primary point of contact between executives and internal/external stakeholders, including leadership across Meruelo's subsidiaries
² Screen and prioritize incoming communications, ensuring timely response and follow-through
Qualifications:
Experience:
² Minimum 3–5 years of administrative experience supporting C-level executives
² Experience in the construction, utilities, or infrastructure sector is highly preferred
² Familiarity with managing multiple stakeholders across corporate and subsidiary levels is a plus
² Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
² Excellent organizational and time management skills
² Strong written and verbal communication
² Proven ability to handle confidential information with integrity
² High attention to detail and a commitment to service excellence
² Professional demeanor, with a calm and proactive approach under pressure
² Highly adaptable, with the ability to work independently and manage competing priorities
Preferred Attributes:
² Associate's or Bachelor’s degree in Business Administration or related field preferred
² Previous experience in a corporate HQ or parent company environment
² Understanding of construction project lifecycle and terminology
