The Job 

The Administrative Assistant - Association Management provides administrative support to the Association Management team.


Job Duties Include:  

  • Assist with community board meetings. File meeting minutes accordingly.
  • Assist with coordination and scheduling of repairs with contractors.
  • Respond to homeowner's requests or complaints in a timely, efficient and courteous manner.
  • Assemble homeowner packages for annual meetings.
  • Send welcome packages to all new property owners.
  • Process new homeowner paperwork and enter information in TOPS software.
  • Assist with gathering all information needed for filing annual taxes.
  • Assist with monitoring collections. Mail monthly late notices when applicable.
  • Assist with gathering information for attorney for lien procedures.
  • Maintain Association gate system information.
  • Process property transfer transactions in Condocerts.
  • Operates the property management software and completes transactions by entering all required fields correctly and by completing updates and back-ups to ensure the integrity of the system.
  • Assist with other tasks related to association management as needed.

Requirements

  • High School Diploma or GED required. 
  • Undergraduate degree preferred.
  • Strong  computer skills.
  • Strong Microsoft Office skills: Outlook, Excel, Word, PowerPoint.
  • Strong verbal and written communication skills.
  • 1  plus year(s) of related experience preferred.
  • Property Management software experience a plus.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment.


Physical Demands

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to handle or feel objects, tools or controls; reach with hands and arms; climb stairs; communicate or listen. The employee must occasionally lift or move office products and supplies, up to 20 pounds.
