The AMP Administrative Specialist provides essential administrative and clerical support to the AMP (Achieving Maximum Potential) program. This role ensures smooth day-to-day operations by managing data entry, supporting AMP events and meetings, and assisting with general office functions. The Administrative Specialist serves as a key liaison between youth participants, staff, and community partners, contributing to a welcoming and organized environment that empowers youth to thrive.
The Administrative Specialist’s primary responsibilities include ensuring that clients are promptly and courteously welcomed on each visit; acting as a liaison between clinical staff and office staff, assisting with scheduling in person clients for appointments; coordinating the day to day flow of the building; and managing the center office including clerical support.
Activities of support and assistance include, but are not limited to: administrative support ; typing grant reports; maintaining both electronic and paper files; reminders regarding due dates for routine reports; advising local leadership of needs in support services or other concerns regarding the operation of the Center. Provides support services related to the function of the Community Advisory Board; assists the Director in preparing agendas for meetings and attending and taking minutes at meetings; assists with preparing statistical reports.
• Act as a receptionist to greet visitors and answer phone callers and direct them to the appropriate staff or other available services. • Provides program information to community service agencies, local government and community groups when requested. Provide basic information about services and referral services. • Greet and assist visitors, youth, and volunteers in a professional and welcoming manner • Maintain accurate and timely data entry into AMP databases and tracking systems • Provide administrative support including scheduling, document preparation, and correspondence • Assist with planning, setup, and logistics for AMP events, meetings, and youth councils • Take and distribute meeting minutes as needed • Manage incoming and outgoing communications, including mail and phone calls • Maintain office supplies and program inventory • Support volunteer engagement and coordination • Distribute incoming and outgoing mail. • Oversee typing, duplicating, correspondence, proofreading, reporting and other administrative paperwork as needed. • Update donation logs for any checks or donations received in-office. • Assist with cleaning and general cleanliness of the center. • Assist with van key check in/out.

MUST HAVES - Required Qualifications
High School Diploma or equivalent
Minimum of four years of administrative or secretarial experience
Knowledge of administrative and clerical procedures and systems.
Knowledge of customer service.
Proficiency in Microsoft Office and database software
Strong written and verbal communication skills
Ability to manage multiple tasks and prioritize effectively
Strong interpersonal skills and ability to work with diverse populations
Ability to use critical thinking skills to solve problems.
Ability to coordinate and collaborate effectively with others.
SHOULD HAVES - Preferred Qualifications
Associate’s degree in a related field
Experience with event planning or youth programming
Familiarity with volunteer coordination and community engagement
Commitment to youth empowerment and trauma-informed care
