ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Responsible for directly overseeing a receptionist team of student employees. This includes hiring, training, developing, scheduling, and evaluating.
- Responsible for day-to-day operational tasks to ensure seamless function of the business office, including providing a high level of customer service to guests, answering phone calls, supervising office cleanliness, submitting work orders, making conference room reservations, and recording and purchasing inventory.
- Assist in the management of the departmental email and voicemail inboxes, responding to questions or request in a timely manner.
- Responsible for managing and staffing Experience LU (ELU) tabling for Campus Recreation, this includes public speaking and providing literature and answering for guests.
- Make purchases and recommendations for departmental assets, expenses, and office supplies.
- Oversee checkout processes for Sam’s Club card, vehicles, and resource library.
- Communicate with the Transportation Office regarding any vehicle related inspections, renewals, and repairs.
- Responsible for communicating with Access Control to ensure office doors are locked during holidays and other various office closures.
- Assist with coordinating full time staff events, celebrations, and team activities.
- Remain up to date on industry standards and performance benchmarks to ensure that Campus Recreation communications and office operations remain effective and current.
- Assist Campus Recreation and Student Activities Directors, Senior Directors, and the Vice President with administrative tasks and projects.
- Perform all other tasks assigned by the Associate Director of Communications & Personnel.
- Attend all required Campus Recreation trainings and meetings.
- Work effectively as a team member, embracing and fostering LU’s mission.
Tier II
- Document, track, and report revenue for all areas of Campus Recreation.
- Assist with Campus Recreation assessment duties, including creating and analyzing facility and program surveys, reporting facility usage data, evaluating assessment day results, contributing to fiscal year goal planning, and compiling an annual executive report.
- Compile and oversee updates to Campus Recreation policies, procedures, and handbooks annually.
SUPERVISORY RESPONSIBILITIES
This position is responsible for up to 2 student employees.
QUALIFICATIONS AND CREDENTIALS
Tier I:
- Four-year college degree, with a concentration in business or similar field
- 1-2 years of previous administrative experience
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Bookings, Outlook)
- Excellent verbal and written communication skills
- Excellent organizational skills, problem solving ability and attention to detail
Tier 2:
- Four-year college degree, with a concentration in business or similar field
- 2-3 years of previous administrative experience
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Bookings, Outlook)
- Excellent verbal and written communication skills
- Excellent organizational skills, problem solving ability and attention to detail
- Experience with finance or budgeting
- Experience with recreation and/or event planning
- Strong ability to multitask
- Experience utilizing software, such as 25-Live, SubitUp, Asana.
- Independently motivated and willing to work to solve problems as they arise

WORKING CONDITIONS
Work Environment
The working environment in which one will typically perform the essential functions of this position is a climate-controlled office setting. Areas are well lit and the noise level is moderate.
Driving Requirements
Use of one’s personal vehicle (or LU vehicles) is required for travel in the performance of the essential functions of this position. Proof of a valid Virginia driver’s license, an acceptable DMV record, and liability insurance is required.
