Overview:
The Electrical Service Assistant ensures accurate daily data entry and invoicing in the company’s job cost and billing system by verifying job details, labor hours, and pricing. The Electrical Service Assistant updates contract amounts, manages work orders in customer portals, prepares billing, and supports collection efforts.
Essential Functions:
1. 95%
- Manages work orders in customer portals (e.g., Service Channel and Corrigo) and uploads invoices.
- Enters job numbers, detailed job information, and invoices in Spectrum daily, scanning backup documentation as needed.
- Prices miscellaneous materials and verifies labor hours on time and material work orders to ensure accurate invoicing.
- Updates contract amounts in Spectrum and adjusts billing amounts on the job log.
- Prepares billing and summary reports for solar, high-temperature, and remodel projects, using unit pricing and time/material methods for an electrical utility company.
- Runs aging reports and makes collection calls.
2. Performs other duties as assigned, which includes assisting with the receptionist call rotation. 5%
Education and Experience:
- High school diploma or equivalent.
- 2 to 3 years of administrative support required.
- Prior accounting experience a plus.
Skills/Abilities:
- Strong attention to detail.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Able to effectively multi-task and prioritize in a fast-paced environment.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook).
