Position Overview:
The Front Office Coordinator plays a vital role in ensuring the smooth operation of Spirit’s corporate office environment and is a professional representative of the company. In this position you will serve as the first point of contact for visitors, clients, and staff, creating a welcoming and professional environment. This role is responsible for managing front desk operations, handling incoming calls, coordinating appointments, and providing administrative support to ensure the smooth and efficient functioning of the office. The ideal candidate will be highly organized, efficient, and skilled in multitasking, with the ability to handle diverse responsibilities in a fast-paced, high-tech industrial setting.
Essential Job Functions:
- Greet and welcome visitors in a professional and friendly manner with electronic check-in process
- Answer inbound phone calls and direct calls to the appropriate Spirit team member
- Support meeting setup, and meet visitor needs
- Coordinate and schedule meetings, conferences, and visit arrangements
- Manage office supplies inventory reporting any shortage to the appropriate team member
- Act as the primary point of contact for office-related matters, including fielding phone calls, sending emails, and managing in-person inquiries
- Maintain and update company databases, filing systems, and records
- Coordinate with facilities management to ensure office equipment is properly maintained
- Assist in the preparation of regular reports, presentations, and correspondence
- Manage the reception area making sure it’s always presentable
- Coordinate with IT department to resolve basic technical issues and escalate complex problems
- Assist in planning and executing company events and team activities
- Support various departments with administrative tasks as needed
- Ensure compliance with office policies and procedures, including those related to security and confidentiality
Requirements
- 3+ years of experience in a front office position or similar role, preferably in a technical or industrial environment but not required
- Associate’s degree or higher preferred but not required
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with office management software and databases
- Strong organizational and time management skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Detail-oriented with a high level of accuracy in work
- Ability to maintain confidentiality and handle sensitive information
- Proactive problem-solving skills and ability to work independently
- Knowledge of office equipment and telecommunications systems
- Understanding of safety and security protocols in an industrial setting
- Adaptability to changing priorities and ability to work under pressure
- Customer service focus with a professional demeanor
- Experience with scheduling, coordinating, and planning meetings and events
Work Schedule:
In Office
Monday - Friday 9am to 2pm
