Position Purpose: 

The Purchasing Tech plays a vital role in ensuring the timely, accurate, and compliant procurement of goods, supplies, and services for multiple clinics and programs. This position is responsible for reviewing, processing, and tracking purchase orders from initiation through completion, confirming delivery and receipt of items, and maintaining accurate records throughout the procurement cycle. The role supports organizational policies and procedures by verifying documentation and assisting in closing orders, while also contributing to inventory and other finance-related functions. Additionally, the Purchasing Technician provides training and ongoing support to staff on purchasing procedures and system tools, helping to promote efficiency, compliance, and operational excellence within the Finance Department. Strong attention to detail, effective communication, and proficiency with Microsoft Office are essential for success in this role.

Principal Responsibilities: 

  1. Order Processing
    • Assist in the reviewing and processing of orders for materials, supplies and services for various clinics and programs
    • Verify all purchase details are entered into the purchasing system accurately and properly
    • Ensure all purchase requests are properly supported by the required documentation in accordance with company policies and procedures
  2. Order Closing
    • Confirm the completion of the receiving process in the purchasing system
    • Communicate with requesters to ensure proof of delivery/receipt are submitted for all items purchased and received
    • Review receipt documentation to verify delivery of goods and checking against purchase orders for accuracy
  1. Training and Support
    • Offer current employees with ongoing support and clarification related to order statuses, purchasing processes and/or the resolution of basic discrepancy
    • Provide training on the purchasing process and system tools
    • Perform other duties as assigned to support team members and contribute to the overall effectiveness of the Finance Department, including assisting with inventory and related tasks as needed

Requirements:

  1. Proficiency with MS Office Suite (especially Excel, Outlook, and Word)
  2. Strong attention to detail, accuracy and analytical
  3. Excellent organizational and time management skills
  4. Good verbal and written communication skills
  5. Ability to work collaboratively in a team environment
  6. Willingness to learn and adapt to new systems and processes
  7. Must have a valid California Driver License
  8. High school diploma or equivalent required; associate's degree or higher preferred
