Polypipe Building Products works with national and local developers, plumbing and heating engineers, general builders and groundworkers to deliver above and below ground drainage systems, rainwater solutions as well as hot and cold plastic plumbing products.

Role overview: The Maintenance Assistant provides administrative and coordination support to the maintenance and engineering team, ensuring smooth day-to-day operations, accurate record-keeping for compliance and ppm schedules, as well as effective communication between departments. This role is key in maintaining compliance, organising work orders, tracking maintenance schedules, and facilitating efficient resource use.

Key Responsibilities:

  • Maintain and update maintenance records, asset registers, and engineering documentation.

  • Prepare, process, and track work orders, purchase requests, and maintenance schedules.

  • Manage and file technical manuals, drawings, inspection reports, and compliance documents.

  • Ensure all maintenance activities are logged accurately in the Computerized Maintenance Management System (CMMS) or equivalent software.

  • Coordinate planned preventive maintenance (PPM) schedules with the engineering team to minimize downtime working in co-operation with the maintenance supervisor.

  • Track and follow up on outstanding maintenance parts/requests with relevant suppliers.

  • Liaise with contractors, suppliers, and service providers for planned and reactive maintenance work working in conjunction with the maintenance supervisor.

  • Generate reports on maintenance KPIs, equipment performance, and downtime analysis.

  • Assist in ensuring compliance with health, safety, and environmental regulations.

  • Support audits by providing accurate maintenance records and certifications.

  • To help Assist in budgeting and cost control by tracking purchase orders, invoices, and maintenance-related expenses within the maintenance team.

  • Provide general administrative support to the maintenance team as a whole.

Skills & Requirements:

  • Proven experience in an administrative role, desirable but not essential would be within maintenance or other teams, facilities, or engineering.

  • Proficiency with CMMS or other maintenance tracking systems.

  • Strong organizational skills with attention to detail.

  • Good communication and interpersonal abilities.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Desirable but not essential;

  • Knowledge of engineering or technical terminology.

  • Experience in compliance documentation and audit preparation.

  • Familiarity with procurement and vendor management processes.

Working Hours & Benefits:

  • Part time, 30 hours per week
