POSITION SUMMARY:
We are seeking a proactive, detail-oriented, and highly organized Office Administrative Assistant to join our dynamic team. This role is crucial to ensuring smooth day-to-day office operations, supporting staff, coordinating communications, and maintaining a welcoming, efficient work environment. The ideal candidate is a strong multitasker with excellent communication skills and a passion for administrative excellence.
KEY RESPONSIBILITIES:
Office Management:
o Maintain office supplies inventory and place orders as necessary
o Water Plants
o Greet visitors and manage front desk duties
o Set up small parcel shipments DHL, FedEx, UPS
Administrative Support:
o Schedule and coordinate meetings, appointments, and travel arrangements
o Prepare and edit documents, reports, memos, and correspondence
o Prepare internal part labels
o Maintain organized digital and paper filing systems, (work orders, travelers, shipping documentation)
o Data Entry
o Provide vacation coverage for order entry associates
o Support members of the operations team with routine tasks, and special projects as needed.
o Assist with onboarding new hires (welcome them and get them to the correct place for onboarding)
Internal Communications:
o Disseminate internal announcements and updates
o Support planning and execution of staff events, meetings, and catering
Records & Data Management:
o Maintain accurate employee and vendor records
o Input and update data into internal systems and spreadsheets
o Handle confidential information with discretion and professionalism
Special Projects:
o Assist with research, reporting, and documentation for internal initiatives
o Support budget tracking and expense reporting
o Participate in operational process improvements
Requirements
Qualifications:
Education:
High school diploma or equivalent required
Experience:
2+ years of experience in an administrative or office support role
Skills & Competencies:
o Excellent verbal and written communication skills
o Strong organizational and time-management abilities
o Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
o Ability to handle multiple tasks with a high degree of accuracy
o Discretion with confidential information
o Friendly, professional demeanor and a proactive attitude
o Ability to thrive in a fast paced environment
