We are currently seeking an Administrative Assistant to join our Jacksonville office.

 

What You’ll Do:

We are seeking a detail-oriented and proactive Administrative Assistant to support our Transportation Leadership and Operations team in Jacksonville, FL. This role blends project coordination with administrative support, serving as a key contact for staff and clients. You’ll ensure project documentation is accurate, organized, and accessible while helping keep operations running smoothly in a fast-paced, professional environment.

 

Key Responsibilities:

 

  • Provide day-to-day administrative support to office leadership and the Transportation team.
  • Process and track Change Orders, Pay Applications, Force Accounts, Requests for Pricing, and Submittals.
  • Maintain organized project records, including daily inspector reports, photos, and closeout documentation.
  • Attend project meetings, record accurate minutes, and distribute documentation.
  • Manage project calendars, schedule meetings, and prepare reports and correspondence.
  • Gather project financial data and assist in preparing forecasting and reporting documents.
  • Order and maintain office supplies and manage inventory.
  • Assist with staff travel arrangements, calendar updates, and company event coordination.

 

What You’ll Bring:

  • High School Diploma or GED required; Associate degree preferred.
  • 2–3 years of administrative or project support experience, preferably in architecture, engineering, or construction.
  • Experience supporting a department manager or executive preferred.        
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with Deltek Vantagepoint, SharePoint & Teams a plus. 
  • Strong verbal and written communication skills with a customer service mindset.
  • Excellent organizational, multitasking, and time management abilities.
  • Comfortable interacting with staff at all levels and working both independently and collaboratively.
  • Basic understanding of project documentation, file management, and clerical procedures.
