Job Responsibilities 

Customer Service

  • Answer phone calls and respond to customer inquiries regarding service needs. 
  • Provide exceptional customer service and address customer concerns professionally. 
  • Maintain open communication with customers throughout the service process. 

Scheduling and Dispatching

  • Manage dispatch team and ensure department is running smoothly.
  • Schedule and dispatch service calls efficiently, considering technician availability, location, and job complexity. 
  • Maintain and update the dispatch board to ensure maximum technician workload capacity. 
  • Prioritize urgent and critical service calls. 
  • Right technician to the right call.

Communication and Coordination

  • Communicate effectively with technicians, providing clear instructions and updates on service calls. 
  • Coordinate with other departments and managers to ensure smooth operations. 
  • Notify technicians and customers of schedule changes or delays. 

Record Keeping and Documentation

  • Maintain accurate records of customer information, service calls, and technician activities. 
  • Ensure proper documentation of service calls, including work orders and invoices. 

Requirements

  • 3+ years of dispatch or scheduling experience in a service-based industry.
  • 1–2 years of supervisory or team leadership experience.
  • Proficient in dispatch software (e.g., ServiceTitan, Housecall Pro) and Microsoft Office.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication skills for working with technicians, office staff, and customers.
  • Understanding of route optimization and local service areas.
  • Ability to prioritize under pressure and manage team performance.
  • Flexible availability for occasional after-hours scheduling or emergencies.
