Job Responsibilities
Customer Service
- Answer phone calls and respond to customer inquiries regarding service needs.
- Provide exceptional customer service and address customer concerns professionally.
- Maintain open communication with customers throughout the service process.
Scheduling and Dispatching
- Manage dispatch team and ensure department is running smoothly.
- Schedule and dispatch service calls efficiently, considering technician availability, location, and job complexity.
- Maintain and update the dispatch board to ensure maximum technician workload capacity.
- Prioritize urgent and critical service calls.
- Right technician to the right call.
Communication and Coordination
- Communicate effectively with technicians, providing clear instructions and updates on service calls.
- Coordinate with other departments and managers to ensure smooth operations.
- Notify technicians and customers of schedule changes or delays.
Record Keeping and Documentation
- Maintain accurate records of customer information, service calls, and technician activities.
- Ensure proper documentation of service calls, including work orders and invoices.
Requirements
- 3+ years of dispatch or scheduling experience in a service-based industry.
- 1–2 years of supervisory or team leadership experience.
- Proficient in dispatch software (e.g., ServiceTitan, Housecall Pro) and Microsoft Office.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent communication skills for working with technicians, office staff, and customers.
- Understanding of route optimization and local service areas.
- Ability to prioritize under pressure and manage team performance.
- Flexible availability for occasional after-hours scheduling or emergencies.
