Job Title: Administrative Assistance (with Training for Hospice and Home Health Intake and Scheduling)

Job Type: Part Time

We are seeking a detail-oriented and motivated Administrative Assistant who shares these values. This role begins as a part-time position and offers the opportunity to grow into a full-time Intake Coordinator and/or Scheduler for both hospice and home health services as our programs expand.

Key Responsibilities:

  • Provide general administrative support to the hospice and home health office.
  • Answer and direct incoming calls, take accurate messages, and route inquiries appropriately.
  • Assist with the intake process, including gathering referral information, verifying insurance, and entering patient data into the EMR system.
  • Support the scheduling of patient visits for hospice and home health services, ensuring efficiency and accuracy.
  • Maintain and update electronic and paper records in compliance with HIPAA and agency standards.
  • Communicate with clinical staff, patients, families, and referral sources in a professional and compassionate manner.
  • Assist with preparing reports, correspondence, and documentation as needed.
  • Learn and follow agency policies, procedures, and regulatory requirements for both hospice and home health operations.
  • Perform other related duties as assigned to support the smooth operation of the office.

Qualifications:

  • High school diploma or equivalent; additional administrative or healthcare-related coursework preferred.
  • Minimum of 1 year of administrative experience; prior healthcare or medical office experience is a plus.
  • Strong computer skills, including proficiency with Microsoft Office and the ability to learn EMR systems.
  • Excellent organizational skills with attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Compassionate and professional demeanor when interacting with patients, families, and staff.
  • Willingness to learn and adapt to new responsibilities as the role evolves.
