Description

The Data Entry Specialist is a highly organized and detail-oriented member of the Data Analytics Team who supports the Integration Team, as well as various mission-driven programs. Reporting to the Quality and Compliance Manager, this role is dynamic and multifaceted, responsible for a range of data entry, reporting, and data management activities. A core function of this position is maintaining accurate and up-to-date client records across multiple platforms, including proprietary and funder-required client management systems (e.g., the Washington State Department of Health’s Provide system).

 

The Data Entry Specialist is also responsible for extracting and compiling data to produce recurring and ad hoc performance reports for funders, donors, and internal stakeholders. This role supports survey administration and contributes to data collection and analytics efforts that help measure program performance, impact, and organizational goals. The ideal candidate is highly detail-oriented, excels at working with data systems, and is comfortable balancing routine responsibilities with evolving project-based tasks across teams. This is a regular, full-time, non-exempt, non-union position.

Qualifications


Essential Duties:

  • Accurately enter and maintain client data in multiple systems, including proprietary and funder-provided client management databases (e.g., the Washington State Department of Health’s Provide system).
  • Utilize database applications and reporting tools to extract, validate, and compile data in response to the needs of funders, donors, and internal leadership.
  • Prepare and submit recurring reports for funders and internal stakeholders.
  • Extract, compile, and reconcile data across various systems to support program monitoring, reporting, and compliance.
  • Collaborate with internal stakeholders—including the Quality and Compliance Manager, Program Managers, and the Data Analytics team—to support accurate data reporting and respond to program needs.
  • Support special projects and one-time data requests, such as tickets submitted by program teams or the HUB.
  • Support survey administration and quality management initiatives through data entry, basic analysis, and project-specific tasks (e.g., targeted client outreach).
  • Validate data and troubleshoot discrepancies, escalating issues or anomalies as needed.

 

Core Competencies:

  • Strong computer literacy and proficiency with Microsoft Office, particularly Excel.
  • Intermediate Excel skills, including the ability to sort, filter, use tables, VLOOKUP, and pivot tables.
  • Basic experience with Microsoft Access and SQL Server.
  • Experience with Microsoft Power BI and SAP Crystal Reports is a plus.
  • Demonstrated ability to enter, update, and manage data across multiple systems with a high degree of accuracy.
  • Strong attention to detail; ability to identify and resolve data discrepancies proactively.
  • Comfortable performing repetitive tasks and working with large datasets.
  • Ability to adapt to shifting priorities and take on ad hoc tasks as needed.
  • Strong analytical skills and the ability to interpret and present data.
  • Effective written and verbal communication skills.
  • Strong time management: ability to prioritize, multitask, and meet deadlines.
  • Ability to work independently in a remote environment.
  • Commitment to accuracy, precision, and data confidentiality.

 

Education and Experience:

  • High school diploma or GED required.
  • Minimum of two (2) years of experience using relational database systems, including data processing, verification, and working with spreadsheets.

 

Work Environment:

  • This position is a hybrid position with at least 3 days in office at our Georgetown Yards location.
  • This position will require access to fast, reliable internet connection and a quiet, dedicated workspace for hybrid work.
  • All positions that involve in-person work with clients are required to undergo a TB test within 30 days of starting employment and annually, or as required by program.
  • Any offer of employment is contingent upon passing a criminal background check. Some programs may require additional background checks or frequency.
