About this position
As an enrollment assistant on our Voucher Program team, this position plays a key role in supporting families as they navigate the child care enrollment process. From managing important documents and assisting callers to preparing child care request packets, the enrollment assistant helps ensure that eligible families receive the services they need. This role is ideal for someone who thrives in a fast-paced environment, enjoys helping others, and values being part of a collaborative, mission-driven team.
What you’ll be doing
- Answering telephones, assisting callers or transferring calls needing program specialist attention, as well as providing phone call follow-ups as needed;
- Providing clerical support to program staff and assisting management as needed;
- Maintaining family files, provider files, and eligibility list of families;
- Directing the flow of family and provider paperwork to the program specialists;
- Serving as receptionist when needed;
- Typing correspondence, memos, reports, and other documents;
- Receiving and processing program mail, including metered mail, bulk mail, FedEx, USPS, and other postal duties;
- Loging documentation into database in a timely manner, in accordance with program regulations and guidelines;
- Assisting program senior specialist and/or program supervisor as needed;
- Preparing childcare request packets for enrollment and provider packets;
- Offering technical support and assistance, as needed, to parents and providers, including help with navigating online systems and providing guidance on using digital tools or platforms;
- Reading and implement all organization and program policies and procedures;
- Accurately complete all assigned paperwork and documentation on a timely basis, according to organization policies and procedures;
- Actively participate in the in-service training;
- Completing special projects and other duties as assigned.
What you bring to the table
- Intermediate knowledge of Microsoft Office suite (Excel, Word, and Outlook);
- Ability to communicate in written and oral English correctly and effectively;
- Discretion in handling confidential information and ability to honor confidentiality and work sensitively and supportively with the public;
- Successful background screening;
- Health screening and TB clearance, to be renewed every 5 years;
- Ability to work with minimal supervision.
- A California driver's license, daily use of an automobile, and automobile liability insurance (preferred);
- Command of Spanish, Cantonese, Mandarin or Vietnamese (preferred).

Job specifications
- Reports to the enrollment supervisor;
- Non-exempt, full-time, twelve-month work year;
- Eight-hour workday; Four-day work week;
- Hybrid work schedule with approval by management;
- Limited evening or weekend hours may be required;
- Employment responsibilities, compensation, or any other factor may be affected by changes in governmental regulations, the organization’s contracts, or at the organization’s discretion.
Salary
- $22-$27 per hour (candidates should anticipate receiving an offer within the first quartile of the salary range).
