RECONCRAFT, a leading defense contract manufacturer of purpose-built workboats for military and government clients, is seeking a dynamic Executive Office Manager to oversee all aspects of a fast-moving office supporting a 200-plus person organization. This role combines executive-level administrative support, general office management, and basic facilities oversight. The position also plays a critical role in maintaining a strong physical security posture to support our secure facility and facility clearance requirements, and in promoting a robust safety culture across the organization.
The ideal candidate will bring a strong background in executive support and office operations for senior leaders in high-intensity, mission-driven environments. They will be detail-oriented, adaptable, and skilled at balancing priorities while managing a team and serving as a trusted partner to senior leadership.
Key Responsibilities (include but not limited to):
Executive Support:
- Organize and manage daily operations for the executive leadership team, including complex calendars, high-level meeting coordination (e.g., congressional and DoD leadership), and domestic/international travel itineraries.
- Draft, edit, and manage sensitive correspondence, reports, presentations, and communications.
- Oversee executive inboxes and ensure timely action on critical items.
- Provide logistical support for large-scale meetings and multi-day events.
- Mentor and guide administrative staff to ensure consistent excellence in executive support.
Office Management:
- Direct all aspects of office administration and ensure operational efficiency in a fast-paced manufacturing environment.
- Develop and implement policies, recordkeeping systems, and administrative workflows using current technology solutions.
- Manage procurement, vendor relations, and maintain an organized, professional work environment.
- Coordinate onboarding, HR actions, and travel/training budgets to support organizational objectives.
- Ensure compliance with regulatory and audit requirements.
Facilities, Security, and Safety Oversight:
- Oversee physical security practices, access controls, and visitor management to maintain a strong security posture aligned with Secret facility clearance requirements.
- Lead office relocations, workspace upgrades, and special projects involving facilities and equipment.
- Coordinate maintenance activities and compliance with safety regulations.
- Chair or oversee the facility safety committee and promote a strong safety culture across all levels of the organization.
- Support and enforce security and confidentiality standards for both physical and digital environments.
Safety Leadership:
- Lead initiatives to cultivate a proactive and robust safety culture throughout the facility.
- Chair the facility safety committee, setting agendas and ensuring follow-through on safety improvements and compliance.
- Develop and implement training and awareness programs to engage employees in workplace safety practices.
- Monitor workplace conditions and collaborate with leadership to identify and mitigate potential hazards.
- Serve as a key point of contact for safety audits and ensure alignment with industry standards and regulatory requirements.
Team Leadership:
- Grow, develop, and supervise a small administrative and facilities team (e.g., receptionists, maintenance personnel).
- Provide training, mentorship, and guidance to ensure high performance.
- Foster a culture of accountability, efficiency, safety, and customer service.
Qualifications:
Education:
- Bachelor’s degree in Business Administration, Communications, or related field preferred; equivalent experience will be considered.
Experience & Skills:
- 10+ years supporting senior executives with demonstrated success in managing large, dynamic offices (200+ employees).
- Extensive experience coordinating high-level meetings, travel, and multi-day events with international and security-sensitive components.
- Strong leadership skills with the ability to grow and manage a team.
- High degree of professionalism, discretion, and ability to handle sensitive and classified information.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat; experience with ERP systems such as Deltek Costpoint is a plus.
- Expertise in physical security protocols, facilities coordination, and workplace safety practices.
- Demonstrated ability to prioritize issues and solve problems under pressure.
Working Conditions
- Office-based within a heavy industrial manufacturing environment.
- Occasional lifting of up to 25 lbs and ability to move throughout the facility.
- Flexibility to work occasional overtime or outside normal business hours.
- Up to 5% travel may be required.
