The Role

The IT Coordination Lead at IWG will report directly to the CIO, serving as a crucial link across various IT departments. This role is essential for ensuring streamlined communication, efficient project coordination, and the successful execution of IT initiatives aligned with IWG’s strategic goals. The IT Coordination Lead will consolidate IT KPIs from different departments to create a comprehensive IT performance dashboard and will manage the preparation of fortnightly and monthly reports from the CIO to the CEO. Additionally, the role includes representing the CIO in meetings and ensuring that instructions are executed promptly and accurately. This position also involves assisting the CIO in resource planning to optimize IT resource utilization and identifying opportunities to reduce IT costs.

Key Responsibilities And Accountabilities

  • Coordinate and manage cross-departmental IT projects and initiatives, ensuring alignment with IWG’s strategic objectives.
  • Oversee and streamline reporting processes, ensuring accurate and timely delivery of fortnightly and monthly reports to senior management, including the CEO.
  • Consolidate IT KPIs across various departments to create a comprehensive IT performance dashboard.
  • Facilitate communication and collaboration among IT departments to ensure cohesive and efficient operations.
  • Assist the CIO in strategic planning, resource allocation, and performance monitoring of IT departments.
  • Optimize broader IT resource utilization across departments to ensure effective and efficient use of resources.
  • Identify opportunities to reduce IT costs and implement cost-saving measures.
  • Represent the CIO in meetings, ensuring that instructions are followed and reporting back on progress.
  • Coordinate and prepare presentations, reports, and documentation for senior leadership and executive meetings.
  • Foster a culture of continuous improvement and innovation within the IT department
  • Assist the CIO in developing and refining IT strategy and roadmap to align with overall business objectives.
  • Assist in the development and management of the IT budget, ensuring optimal allocation of resources and adherence to financial constraints.
  • Assist in the Governance and Compliance of IT policies, standards within the IT department (cross IT department standards).
  • Liaise with internal and external stakeholders to understand their needs and ensure IT services meet their expectations.
  • Identify skill gaps within the IT team and implement training and development programs to address these gaps. Foster a culture of continuous learning and improvement.
  • Regularly review and assess the performance of IT initiatives and projects. Implement corrective actions as needed to ensure objectives are met.
  • Encourage a culture of innovation within the IT team.
  • Develop and implement communication strategies to keep the IT team and broader organisation informed about IT initiatives, achievements, and challenges.

Experience

  • Minimum of 5 years of experience working in an IT Operations Environment and/or Development Environment.
  • Demonstrated success in managing cross-functional IT initiatives.
  • Experience in a leadership or supervisory role within an IT department.
  • Experience in creating and consolidating KPI reports and dashboards.
  • Experience in optimising IT resource utilisation and reducing IT costs.
  • Experience working in a fast-paced and dynamic environment.

Qualifications

  • Bachelor’s degree in Information Technology, Computer Science, Business Administration or a related field.
  • Ideally a related Masters Degree.
