Summary of Position

The Executive Assistant is primarily responsible for providing administrative and organizational support for the Chief Legal and Administrative Officer and Legal Department.

 

Essential Duties and Responsibilities

·         Provide administrative support for the CLAO and Legal Department.

·         Administer an organized workflow for assigned tasks within the Department.

·         Coordinate schedules as requested.

·         Schedule, coordinate, and prepare for internal and off-site meetings as needed.

·       Prepare correspondence and documentation including policies, procedures, memorandums, letters, and notices.

·         Assist with travel arrangements.

·         Assist in preparation of materials for presentations and meetings.

·         Coordinate and maintain select reports for the Department.

·         Assemble materials from various departments in support of various Legal needs.

·         Coordinate responses to outside requests for information.

·         Track and coordinate charitable support approvals.

·         Maintain Department records (including network files) in organized, systematic manner.

·         Perform accounting tasks for CLAO to include processing invoices and reconciling expense reports.

·         Process notary applications and renewals for entire company.

·         Answer phones for CLAO.

·         Maintain high level of decorum and professionalism.

·         Maintain a high level of confidentiality.

·         Assist with special projects as needed.

·         From time to time must complete projects on short notice with extreme time constraints.

 

Requirements

Qualifications

  • Bachelors degree preferred, High School Diploma or equivalent required.
  • Requires at least 3-4 years of executive level support experience required.

·         Highly organized and a strong attention to accuracy and detail.

  • Demonstrated computer skills including a working knowledge of MS Office products, including Outlook, Excel, Word, and PowerPoint.
