Klickitat Valley Health is seeking a highly skilled and professional Executive Administrative Assistant to provide direct support to our Chief Executive Officer, Board of Commissioners, and senior leadership team. The Executive Administrative Assistant provides high-level administrative and digital support to Klickitat Valley Health (KVH) Administration, the Board of Commissioners, and senior leadership. This position requires a proactive professional who demonstrates sound judgment, confidentiality, accuracy, and adaptability in a dynamic healthcare environment.

 The Executive Administrative Assistant supports the directives, policies, and initiatives of the Chief Executive Officer (CEO), the Board of Commissioners, and other managers or directors as directed. Core responsibilities include managing administrative functions such as scheduling, meeting coordination, minute-taking, correspondence, and record maintenance, while also utilizing digital tools to enhance communication, project tracking, and organizational efficiency.

 The Executive Administrative Assistant demonstrates excellence in customer service during interactions with patients, families, staff, vendors, and the public. The position works collaboratively across departments to support KVH’s mission in a compassionate, professional, ethical, and knowledgeable manner.

 

 

Qualifications


Minimum Education, Training & Experience (includes licenses or certifications):
Safety Sensitive per WASB5123: No

  • Associate Degree required; Bachelor’s Degree in Business, Communications, or related field strongly preferred.
  • Knowledge of office administration, professional correspondence, and digital communication systems required.
  • Must have or obtain a Washington State Notary Public within 90 days of employment.
  • Familiarity with Google Workspace (Docs, Sheets, Drive, Calendar, Slides, Meet, Forms), DocuSign, and project management tools preferred.

Experience:

  • Minimum of three (3) years of recent full-time experience in administrative or executive assistant roles, preferably in healthcare, government, or corporate settings.
  • Experience supporting executive leadership and/or board-level functions preferred.

 

Skills/Knowledge/Abilities:

 

  • Strong organizational, planning, and multitasking skills with a high degree of accuracy and attention to detail.
  • Demonstrated ability to prioritize assignments, anticipate needs, and meet deadlines in a dynamic environment.
  • Excellent written and verbal communication skills, including the ability to draft, edit, and proof professional documents and correspondence.
  •  Proven ability to handle confidential and sensitive information with discretion, maturity, and sound judgment.
  • Proficient in Google Workspace (Docs, Sheets, Slides, Drive, Calendar, Gmail, and Meet) and experienced with everyday digital tools such as email, data retrieval, voicemail, and intranet systems.
  • Demonstrates proficiency with digital communication, marketing, and document-production platforms, including social media management tools, Canva or similar design software, Nitro, Adobe Acrobat/Adobe Creative Suite, and other web-based systems used to support outreach, branding, and internal/external communications.
  • Skilled in virtual meeting setup, screen sharing, and real-time document collaboration through Google Meet and Google Drive.
  •  Experience with digital recordkeeping, file management, and secure document sharing compliant with privacy and retention standards.
  •  Demonstrated critical thinking, decision-making, and adaptability; accepts feedback constructively and demonstrates initiative.
  • Excellent interpersonal and customer service skills; interacts professionally with staff, patients, physicians, and community members.
  • Accountable, reliable, and responsible in all administrative functions with consistent attention to confidentiality and quality.

ESSENTIAL FUNCTIONS / RESPONSIBILITIES (but not limited to):

  •  
  • Supports the mission, vision, and values of Klickitat Valley Health through professional and ethical administrative conduct.
  • Serves as the primary administrative liaison for the CEO, Board of Commissioners, and executive leadership team.
  • Manages calendars, schedules meetings, coordinates travel, and assists with expense reimbursements using Google Suite and KVH digital systems.
  • Prepares and distributes Board meeting materials, notices, and official documents using digital tools.
  •  Records and maintains accurate Board meeting minutes, including providing administrative support for one afternoon/evening Board of Commissioners meeting each month, and posts approved materials to the KVH website and intranet.
  • Composes and edits correspondence, reports, and presentations using Microsoft Word, Excel, and PowerPoint.
  • Maintains organized, secure digital and paper filing systems for administrative and board records, compliant with HIPAA and public records laws.
  • Manages contract documentation in PolicyMedical, ensuring version control, expiration tracking, and compliance documentation.
  • Coordinates meeting logistics, catering, digital setup (Teams/Zoom), and other event needs.
  • Prepares official public notices and ensures compliance with state posting requirements.
  • Tracks administrative supplies and coordinates procurement through KVH’s digital requisition system.
  • Supports communication efforts by drafting internal memos, digital announcements, and public-facing materials.
  •  Manages CEO credit card reconciliation, travel documentation, and administrative policy updates.
  •  Maintains administrative records and archives using digital retention standards.
  • Performs other duties as assigned by the CEO to ensure administrative continuity and excellence.
