Position Summary

The Inventory and Logistics Coordinator for Jewelry & Watches will oversee the management, storage, and movement of high-value property, supporting the department nationally with operational oversight of inventory control, vault organization, incoming and outgoing shipments, client pick-ups, post-sale returns, previews, exhibitions, repairs, and gemological certifications. This role will also coordinate the department’s travel exhibition calendar in collaboration with the Heads of Department, ensuring smooth execution of events while maintaining safe handling practices and operational efficiency across all locations.


Key Responsibilities

  • Oversee inventory management for Jewelry & Watches, including tagging, bagging, lot-dotting, and vault organization in Chicago.
  • Serve as Vault Manager, maintain oversight of inventory and storage.
  • Ensure safe storage and handling of property across all locations.
  • Coordinate incoming and outgoing shipments with regional offices, clients, and consignors, including returns of unsold property and post-sale fulfillment.
  • Coordinate shipping for gem certifications and manage local repairs and mounting (in collaboration with Cataloguers).
  • Manages and performs Best Practices in packing and shipping while meeting company standards for moving highly valuable jewelry and watches out to clients and team members nationally.
  • Manage preview and event logistics in collaboration with Malca Amit and department heads; oversee setup and breakdown of previews across all locations.
  • Continuously refine and improve operational processes and standards for the Jewelry & Watches department.
  • Ability to work in a fast-paced, high-pressure environment while handling multiple priorities continuously.
  • Strong communication skills and ability to be the client liaison for all shipping matters.
  • Perform other duties as assigned.


Education & Experience

  • Bachelor's degree required; graduate degree preferred, or equivalent experience in the luxury industry.
  • Prior experience at a major auction house is strongly preferred.
  • Solid knowledge of the jewelry market, with working understanding of gemstones and materials.
  • Exceptional organizational, administrative, and teamwork skills.
  • Strong professionalism, communication skills, and confident presence.
  • Quickly learner and navigate internal systems.
  • Proven track record of delivering results.
  • Must be able to travel up to 20%.
