Description

The Business Support Specialist plays a key role in supporting CHP Energy Solutions’ business development efforts by serving as an administrative liaison to external partners, including subcontractors, nonprofit collaborators, and clients. Reporting to the Business Development Manager, this position helps maintain and strengthen relationships through timely communication, scheduling coordination, and workflow support. The Specialist will intake partner feedback, assess capacity, and relay information to internal teams, ensuring smooth operations and alignment with program goals. This role requires strong organizational skills, professional communication, and a collaborative mindset to support both field and office operations.

Working hours may vary, but the customary schedule is Monday – Friday from 8:00 am-5:00 pm, with a one-hour lunch break. Occasional evening and weekend hours may be necessary as the workload dictates, and with the approval by the supervisor. This position may work up to two days a week from home with permission from the supervisor.

 

Essential Duties & Responsibilities

  • Serve as a direct point of contact for external partners—including subcontractors, nonprofit collaborators, and clients—facilitating clear and timely communication regarding capacity, scheduling, and program updates.

  • Intake feedback from partners and escalate issues or opportunities to internal teams for resolution or follow-up.

  • Coordinate administrative tasks related to partner documentation, scheduling, and workflow tracking.

  • Maintain accurate records in GoFormz, Dynamics 365, and other systems to support partner performance and compliance.

  • Assist with onboarding and orientation of new partners, ensuring familiarity with program expectations and tools.

  • Support the Business Development Manager in maintaining engagement pipelines and relationship strategies.

  • Participate in recurring and special projects related to external partner engagement and program delivery.

  • Build and maintain positive working relationships with external partners, internal staff, and other stakeholders.

  • Perform other duties as assigned by the Business Development Manager or department leadership.

Knowledge, Skills, and Abilities

  • Strong interpersonal and communication skills, with the ability to interact professionally with external partners and internal teams.

  • Ability to manage multiple priorities and maintain attention to detail in a fast-paced environment.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and willingness to learn new software platforms.

  • Experience with GoFormz and Dynamics 365 preferred.

  • Understanding of construction, weatherization, or energy efficiency work is a plus.

  • Ability to interpret and communicate program requirements clearly and effectively.

  • Must maintain a valid driver’s license and driving record consistent with CHP insurability guidelines.

Education and/or Experience

  • High School diploma or GED required; Associate’s degree or higher preferred.

  • 2–4 years of experience in administrative support or project coordination.

  • Experience working with subcontractors, nonprofit partners, or service delivery teams preferred.

  • Familiarity with grant-funded programs or nonprofit service delivery is a plus.
