PURPOSE OF THE POSITION:

Responsible for the oversight, monitoring, and optimization of all aspects of the MyEvolv Electronic Health Record (EHR) system. Ensures compliance with OPWDD and Medicaid billing standards, supports implementation of new systems, and provides training and triage support to staff. Works in partnership with the Director of Revenue Cycle & Client Benefits to ensure billing workflows are accurate and compliant.

SPECIFIC RESPONSIBILITIES

  • Monitor all components of the MyEvolv EHR system to ensure data accuracy, system functionality, and compliance with internal and external standards.
  • Review and audit monthly summary submissions and EHR tasks to ensure OPWDD IDD programs remain in full compliance with all billing aspects.
  • Review daily billing units and ensure alignment with Medicaid, OPWDD, and CHR billing standards.

Help facilitate the new development of data forms to incorporate into MyEvolv and train new management staff in MyEvolv as needed.

  • Support Programs to start up with the implementation of EHR to roll over from paper data into the EHR system.
  • Review status and reporting delay in month summaries and discrepancies.
  • Ensure CHR billing is completed accurately and timely, including unlocking and correcting entries as needed.
  • Partner with the Director of Revenue Cycle & Client Benefits to optimize billing workflows and resolve discrepancies.
  • Triage and resolve EHR-related issues, including system bugs, access problems, and documentation errors.
  • Provide oversight and support for the implementation of new workflows, forms, and modules within MyEvolv.
  • Develop and deliver training materials and sessions for staff on MyEvolv usage, updates, and best practices.
  • Maintain centralized and complete client records using MyEvolv and Power BI integration for reporting.
  • Ensure documentation integrity and prevent double entry across systems (
  • Support audit preparation and documentation for Medicaid reviews.
  • Collaborate with program directors and program management to ensure staff readiness and compliance with new system features.
  • Review MyEvolv CHR and individual skill-building service entries for completion and compliance with OPWDD billing requirements.
  • Review individual skill-building services using the Power BI Daily Summary report for a minimum billing of one service entry per day
  • Review CHR via the Service Entry view in MyEvolv , ensuring all entries comply with the Staff Action Plan.
  • Submit a service request to have error entries removed since CHR billing is pulled directly from MyEvolv. CHR services are billed Monday through Friday, excluding SCO agency holidays.
  • Review Placement Disruptions for therapeutic leave and retainer (hospital) days. Send emails to managers/supervisors alerting them to missing entries/error CHR entries mid-month and at the end of the month.
  • Ensure all billing is complete for submission by the end of the fourth business day of the month.
  • Update the billing department on programs ready to bill by Wednesday.
  • Send the final email to the billing department and program administration when all billing is complete.
  • On the first day of the month, request and receive Supportive Apt.
  • Paper billing checklists to send to the Billing department with the final billing complete email.
  • Check for completion of monthly summaries and send status updates to management.
  • Attend the bi-weekly IRA MyEvolv meeting.
  • Notify IT of new staff who need to be added to the MyEvolv meeting invites and communications.
  • Submit the IT service request for new staff to be added to MyEvolv and update their information to the “New Staff List Template by IRA Updates” Excel spreadsheet.
  • Update MyEvolv workgroup(s). Add staff who have transferred or who work at another location to the appropriate MyEvolv workgroup(s). 
  • Submit the IT service request for staff to be given access to the IRA Power BI reports as needed

 

QUALIFICATIONS

  • High School Diploma or bachelor’s degree in health information management, Social Services, or related field.
  • Minimum 3 years of experience working with EHR systems, preferably MyEvolv.
  • Strong understanding of Medicaid billing standards and OPWDD compliance.
  • Proficiency in Microsoft Office Suite and Power BI.
  • Experience in training and supporting multidisciplinary teams.
  • Excellent problem-solving, communication, and organizational skills.
  • Ability to handle sensitive and confidential information.
  • Valid driver’s license preferred.

WORKING CONDITIONS

  • Remote position unless deemed necessary for Hybrid.
  • Monday–Friday, 20 hours/week.
  • Participate in staff meetings, in-service training, and annual sessions.

SCOPE OF RESPONSIBILITY

  • Ensures EHR documentation and billing compliance across assigned programs.
  • Leads triage and resolution of EHR issues.
  • Supports implementation and training for new system features.
  • Collaborates with Revenue Cycle leadership to ensure billing accuracy.
  • Work along with IT Applications Product Management and staff to ensure the I/DD department remains aligned with compliance regulations outlined by SCO compliance CMS, OMIG, and OPWDD.
