Position Responsibilities:
Responsible for various Corporate Real Estate and Administrative Services activities, monitoring Facility portal system and routing service calls / work orders to the appropriate area. Liaison with mailroom, courier services, and other external vendors. Liaison between the Corporate Real Estate and other support functions such as Finance, Technology Services, and other lines of business.
Essential Functions of the Job:
Knowledge of Mailroom activities and processes, overnight carrier invoice reconciliation, USPS mail standards and services, maintains USPS postage accounts, PO Boxes, and related vendor invoicing.
Review, verify, code and process multiple vendor invoices for payment.
Monitor Facility Management service portal system and delegate to appropriate service vendors.
Formulate monthly / semi-annual inspection & reviews of real estate portfolio.
Support Corporate Real Estate and Facility Managers on Space Management and New Ways of Working activities.
Update and Maintain accurate Floor plans for US Portfolio, Employee listing, and Moves, Adds, and Changes (MAC’s).
Performs post move, occupancy evaluations, and project reviews, incorporates learnings into future projects
Schedule and Coordinate furniture repairs and other maintenance issues for the Office; monitor repairs through completion.
Ability to address and resolve minor office repairs; file cabinets, chairs, keys, etc.
Develop and maintain inventory of leased equipment and other owned items.
Provide coordination and support for special events as needed.
Purchase and monitor inventory of office supplies.
Manage and track vendor Certificates of Insurance (COI’s)
Manage and maintain user lists for couriers, supply vendors, etc.
Manage and maintain courier service schedule.
Project management budget tracking, analysis of project spend and project costs
Benchmark spend, efficiency & utilization
Assist in process re-engineering & continuous improvement initiatives
Participates in Business Continuity and Emergency Preparedness activities.
Will become the Department Sr. Records Management Coordinator
Maintain inventory of Corporate Artwork and decorations.
Ability to handle confidential information with discretion.
Identify opportunities for improved operation to drive efficiencies (process and cost) and make recommendations to the Facility Manager for consideration.
Qualifications:
Bachelor's degree preferable in Business Administration, Finance, or Accounting
Financial analysis, real estate and project management skills
Excel / Word / PowerPoint / Power BI a plus
Analytical, Detail oriented, Self-Starting
Ability to work independently and manage multiple projects simultaneously
This position is required in the office M-F

At CIBC, we offer a competitive total rewards package. This role has an expected salary range of $70,000 - $85,000for the market based on experience, qualifications, and location of the position. The successful candidate may be eligible to participate in the relevant business unit’s incentive compensation plan, which may also include a discretionary bonus component.
