SENIOR ADMINISTRATIVE ASSISTANT - TECHNOLOGY

Summary of Job Responsibilities
This position provides comprehensive administrative support and office management for the Information Technology, Application Development, and Product Management divisions. Key responsibilities include procurement, contract administration, expense and travel reporting, billing, recordkeeping, budgeting, event coordination, and overall office operations. Success in this role requires a broad understanding of company policies and technology workflows, strong collaboration and communication skills, and a high degree of resourcefulness and initiative.

Essential Duties and Responsibilities
Employees are held accountable for all duties of the job. Individuals must be able to perform these duties with or without reasonable accommodations.

  • Facilitates procurement by researching product options, negotiating pricing and delivery timelines with vendors and internal stakeholders, coordinating contract approvals and signatures, generating purchase orders, and processing payments

  • Provides administrative support, document creation, and recordkeeping using an organized and efficient electronic filing system

  • Ensures adherence to procurement, travel, document retention, and information security policies, as well as other applicable organizational policies

  • Identifies, submits, and tracks documents requiring formal legal approval

  • Prepares documents for signature, including electronic signatures, and ensures proper routing and communications with signers

  • Maintains and proactively renews maintenance and license agreements for equipment, software, and support services

  • Assists in tracking and maintaining accurate inventories of software licenses and computer hardware assets

  • Orders and monitors office supply usage, manages office equipment needs, and supports new employee onboarding

  • Plans, coordinates, and facilitates staff events for supported technology divisions.

  • Maintains shared workspaces (e.g., conference rooms, kitchen, print room) to ensure they are stocked, organized, and clean

  • Coordinates staff training logistics and assists with travel and expense reporting form

  • •Supports the development of operating budgets for supported technology divisions

  • Prepares and distributes internal communications to staff

  • Collaborates with division staff to support complex projects and initiatives

  • Documents standard operating procedures for assigned responsibilities

  • Provides backup administrative support to other departments as needed

  • May be assigned special projects and strategic initiatives

  • Supports the delivery of technical services to internal customers

  • Distributes incoming mail and packages to appropriate staff members

  • Participates in training and professional development opportunities

  • Maintains consistent and punctual attendance

  • Performs other duties as assigned

Job Qualifications

  • High school diploma and 3-5 years professional experience in administrative support, procurement or billing; or an equivalent combination of education and experience

  • Strong organizational and analytical abilities, with a sharp focus on detail and a commitment to delivering accurate, high-quality work

  • Proven ability to manage multiple priorities and meet tight deadlines

  • Effective interpersonal, problem-solving, anticipatory, and decision-making skills

  • Excellent verbal and written communication abilities

  • Proficient in Microsoft Office applications at an intermediate level

  • Experience with budgeting, billing, and expense reporting systems preferred

  • Familiarity with electronic recordkeeping systems preferred

  • Ability to work independently and collaboratively within a team-oriented environment

  • Standard office environment with frequent telephone communication, computer operation, and other office productivity machinery, such as a copy and printer machine. 

  • Occasional moving and positioning supplies in excess of 20 pounds

  • Ability to sit for prolonged periods of time

  • Ability to operate standard PC equipment

  • Ability to handle stress associated with frequent deadline and tight schedules

     

Hybrid Work Option

  • Opportunity to work from home up to two days per week. Eligibility dependent upon factors detailed in PERA's Work from Home Policy.
