Yanmar Compact Equipment North America designs, manufactures and supports a complete range of compact equipment including compact track loaders, mini excavators, wheel loaders and construction equipment for use in such markets as construction, landscaping, utility, land management and agriculture. The products are sold primarily through a third party, independent dealer network. 

OVERVIEW:

The First Impression Office Receptionist position will provide administrative, and facility support to the Yanmar Compact Equipment North America (CENA) regional headquarters. The First Impression Office Receptionist plays a critical role in ensuring the smooth operation of the CENA regional office. The ideal candidate should possess excellent organizational, communication, and interpersonal skills, be detail-oriented and proactive, and be able to manage multiple tasks and priorities. 

Please note this position is on-site located at our Grand Rapids, Minnesota headquarters. Monday- Friday 8am-5pm.

RESPONSIBILITIES:

  • Communication Handling: Screening and prioritizing phone calls and emails and responding to employee and visitor requests.
  • Maintains location phone listing.
  • Performing administrative support tasks, such as proofreading, transcribing handwritten information, processing bulk mailings, etc.
  • Managing incoming mail, messages, and deliveries by sorting and/or distributing to the appropriate individual or      department.
  • As available, greeting guests entering the office, determining nature and purpose of visit to direct or escort them to specific destination.
  • Meeting and Event Organization: Coordinating and organizing meetings and events, including arranging catering, travel, lodging and meeting rooms. 
  • Overseeing the organization and ordering of office supplies and related materials.
  • Maintaining the general upkeep and cleanliness of the front offices, reception area, kitchenettes, and meeting rooms
  •  Assists in supporting leadership team in ad hoc supply or business meal pick up.
  • Coordinates and sends out weekly employee communication- gathering required information from different departments.
  • Data entry and electronic filing
  • Other duties as assigned

Requirements

  

QUALIFICATIONS:

Education and/or Experience:

  • Education: High School Diploma;  Associate degree or certification in business administration or a related field (preferred)
  • Experience: Two (2+) years’ experience in similar type role- working in a fast-paced environment.
  • Driver’s License: Successful candidate must possess a valid MN driver’s license to use Company vehicle for infrequent local travel to pick up supplies and/or food.

Knowledge, Skills, & Abilities:

  • Proficiency  with MS Office (Outlook, Excel, Word, Teams, and PowerPoint) required.
  • Must have excellent communication skills, both written and verbal with ability to communicate to all levels of the North America organization, as well as customers, visitors, and other global team members.
  • Customer-focused attitude, with elevated level of professionalism and discretion.
  • Must have strong time management and organizational skills to prioritize multiple projects.
  • Must have attention to detail with a high level of accuracy.

Starting Wage: Starting at $17.50/hr or more DOQ

This position offers the potential for discretionary bonus compensation up to  6% of base salary.
