Job Summary:

The Construction Administrator Assistant provides administrative and operational support to the Construction Administrator and construction team. This role assists with tracking estimates, purchase orders, invoices, and project documentation to ensure efficient project execution and accurate recordkeeping. Strong organizational skills, attention to detail, and the ability to follow established processes are essential for success in this position.

 

This position is designed to provide flexible support to the Construction Department; therefore, duties and responsibilities may evolve or be reassigned as business needs change.

 

Key Responsibilities:

  • Assist in preparing and maintaining project documentation, including estimates, purchase orders, and invoices.
  • Track project estimates and follow up with contractors to ensure timely submission.
  • Support the creation and maintenance of digital project folders and recordkeeping systems.
  • Request, log, and organize purchase orders and related project documentation.
  • Process and monitor invoices for accuracy and timeliness.
  • Communicate with internal teams and contractors to gather information and resolve minor discrepancies.
  • Help distribute updated project materials, such as revised plans or redesign requests.
  • Maintain trackers and spreadsheets to ensure up-to-date project information.
  • Provide general administrative support to the construction team as needed.

Qualifications:

Education and Experience:

  • An associate or bachelor’s degree in management, business administration, or a related field is preferred but not required (High School Diploma or GED required as well as relevant work experience).
  • 2+ years’ experience in business administration.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) 
  • Experience in telecommunications, utility, or infrastructure construction is a plus.

  • Ability to work collaboratively with multiple departments and contractors.
  • Dependable, proactive, and adaptable to changing priorities.
  • Valid driver's license and reliable transportation.

 

Working Conditions:

  • Ability to sit for extended periods while working at a computer.
  • Ability to lift and carry office supplies and documents up to 20 pounds.
  • Frequent use of hands and fingers for typing and handling paperwork.
  • Ability to move around the office to access files and office equipment
